Act as the primary point of contact between clients, exhibition organisers, and internal project teams.
Coordinate directly with exhibition organisers regarding stand build approvals, technical submissions, venue regulations, and event requirements.
Liaise closely with clients, designers, project managers, and operations teams to ensure project information is communicated accurately and efficiently.
Monitor project timelines and progress, proactively following up on approvals, submissions, outstanding actions, and key deliverables.
Manage and maintain project information using company systems, including Monday.com and other internal software platforms.
Prepare and update project trackers, reports, schedules, and documentation using Microsoft Excel and other Microsoft Office applications.
Respond promptly to client enquiries, providing professional support and effective solutions to project-related issues.
Identify potential project risks or challenges and work collaboratively with internal teams to implement solutions.
Ensure all project information is accurate, up to date, and readily accessible to relevant stakeholders.
Support the successful planning, coordination, and delivery of exhibition stands, pavilions, and event projects.
Requirements
Previous experience in customer service, project coordination, exhibitions, events, or a related industry.
Strong communication and interpersonal skills, with the ability to build effective relationships with clients and stakeholders.
Excellent organisational skills with the ability to manage multiple projects and deadlines simultaneously.
High level of attention to detail and a proactive approach to problem-solving.
Proficiency in Microsoft Office applications, particularly Excel.
Experience using project management platforms such as Monday.com is advantageous.
Ability to work effectively under pressure in a fast-paced project environment.
Professional and confident when interacting with clients, suppliers, contractors, and event organisers.
Strong administrative and coordination capabilities, with the ability to manage competing priorities.
Fluency in English is essential; speaking Arabic would be considered an advantage.
Knowledge of the exhibitions, events, or fit-out industry would be beneficial.
