Data Entry Clerk
We are seeking a highly organized and detail-oriented Data Entry Clerk to join our project administration team supporting large-scale EPC projects in the Oil & Gas sector. The successful candidate will be responsible for maintaining accurate records, managing administrative documentation, supporting reporting requirements, and ensuring data integrity across various administrative and project systems.
This role is critical in supporting efficient project operations through accurate data management, administrative coordination, and compliance with company procedures and project requirements.

YOUR ROLE
As Data Entry Clerk, you will
Data Entry & Record Management
- Enter and update employee records, attendance sheets, timecards, leave records, and manpower deployment logs.
- Maintain digital and physical records for: Site attendance, Gate passes, Employee ID cards, Mobilization and demobilization records, Daily manpower reports.
- Update inventories related to: Office supplies and stationery, PPE issuance, Accommodation records, Transport requisitions.
- Ensure accuracy, consistency, and completeness of administrative databases and spreadsheets.
- Scan, index, archive, and retrieve documents in accordance with company document retention procedures.
Documentation & Filing
- Prepare administrative forms, letters, memos, and reports as directed by supervisors.
- Maintain organized hard-copy and electronic filing systems.
- Manage document naming conventions, version control, and filing structures.
- Support the preparation of: Manpower Utilization Reports, Overtime Reports, Staff and Worker Movement Reports, Accommodation Occupancy Reports
- Handle confidential personnel and administrative records with discretion and integrity.
Administrative Coordination
- Coordinate with HR, Accounts, Site Administration, Transport, and Camp Management teams regarding data updates and reporting.
- Support mobilization and demobilization activities through preparation of employee lists, IDs, and required documentation.
- Assist with procurement request tracking, vendor documentation, and delivery note entries.
- Liaise with site supervisors for daily attendance and manpower verification.
System Usage & Reporting
- Maintain and update administrative databases, ERP systems, HRMS, and time-attendance platforms.
- Generate daily, weekly, and monthly reports for management and project stakeholders.
- Support payroll preparation through accurate attendance and timecard data entry.
- Verify and validate data prior to submission to HR, Payroll, and Management.
Compliance & Standards
- Adhere to company policies, procedures, and confidentiality standards.
- Ensure audit readiness and document traceability.
- Maintain current knowledge of administrative systems, templates, and reporting requirements.
- Follow all project safety regulations and site administration protocols.
WHAT WE'RE LOOKING FOR
Experience
- 2-5 years of experience in Data Entry, Project Administration, HR Administration, or Site Administration within EPC, Oil & Gas, Construction, or Industrial Projects.
- Experience handling large workforce records and manpower reporting on project sites.
- Familiarity with mobilization/demobilization processes and site-based administrative operations.
- Ability to work under deadlines while maintaining a high degree of accuracy.
- Strong understanding of administrative compliance, audit requirements, and document traceability.
Education and Certifications
- High School Certificate (Mandatory)
- Diploma or Bachelor's Degree in Business Administration, Management, or a related field (Preferred)
