Organize & coordinate appointments, meetings & events
Prepare schedules for meetings & ensure attendance of required participants
Ensure all relevant documentation for meetings & appointments is prepared in advance
Transcribe drafts & revise correspondence, agendas, memos, minutes & policies
Assist in the completion of various forms, notices, press releases & any other communications
Assist with budget planning & cost management
Attend to phone calls, enquiries & client requests
Manage incoming emails, fax & posts for the Director General
Provide inputs for the establishment, revision & maintenance of foundation procedures & policies
Compile & maintain records, statistical information & reports
Manage administrative files including copying & filing
Reviewing the booking of travel tickets, hotels, entrance tickets for exhibitions of the Director General and organizing business trips
Provide administrative support to individuals & departments
Communicate with Director General & departments to identify business or staffing needs & changing business practices
Qualifications
Bachelor's degree in Business Administration, Public Relations, or an equivalent field
Three years progressive experience with an NGO
Minimum two years experience as an executive secretary to a high level
