About the Role
UNIMAC is seeking an experienced and highly organized Document Control Manager to lead and strengthen the company's document control function across its active projects and corporate operations.
The successful candidate will be responsible for establishing and maintaining robust document control standards, ensuring compliance with UNIMAC's Quality Management System (QMS), ISO 9001 requirements, and client contractual obligations.
This is a key leadership role responsible for overseeing the Document Control team, ensuring the integrity and traceability of project records, managing document workflows and transmittals, and driving the effective adoption of UNIMAC's digital document management systems across the organization.
The ideal candidate will bring strong experience in GCC construction environments, excellent knowledge of digital document management platforms, and the leadership capability to establish consistent document control standards across multiple projects.
Key Responsibilities
Document Control Governance
- Lead and manage UNIMAC's document control function across all active projects and corporate functions.
- Develop, implement, and continuously improve corporate document control procedures, standards, workflows, and governance frameworks.
- Establish and enforce requirements for document numbering, naming conventions, revision control, status management, distribution, transmittals, filing, and retention.
- Ensure document control practices comply with ISO 9001, QMS requirements, contractual obligations, and client-specific procedures.
- Conduct periodic document control audits and implement corrective actions where required.
- Maintain an accurate, complete, traceable, and audit-ready document record.
Project Document Control
- Provide functional leadership and direction to Document Controllers across all active projects.
- Ensure consistent application of document control procedures across project teams.
- Monitor the timely and accurate issue of drawings, submittals, RFIs, ITPs, method statements, NCRs, technical documentation, correspondence, and other project records.
- Oversee project transmittals and ensure deliverables are formally submitted through approved channels within required timelines.
- Act as the escalation point for document control issues involving revisions, ownership, distribution, filing, and document status.
- Ensure project documentation can be efficiently retrieved for audits, claims, disputes, client requirements, and regulatory reviews.
Incoming & Outgoing Documentation
- Manage the controlled receipt, registration, classification, distribution, and filing of incoming client, consultant, contractor, supplier, and regulatory documentation.
- Ensure action-required documents are assigned to the appropriate stakeholders with clear responsibilities and deadlines.
- Monitor outstanding responses, approvals, and document actions through to closure.
- Ensure all outgoing documentation is formally reviewed, controlled, registered, and transmitted through the approved document management system.
Digital Document Management
- Lead the implementation, administration, and continuous improvement of UNIMAC's digital document management platform.
- Drive adoption of platforms such as Aconex, SharePoint, SAP, or equivalent systems across active projects.
- Establish appropriate document structures, workflows, registers, metadata, permissions, and access controls.
- Coordinate with IT on system configuration, user access, security, and technical support.
- Develop user guides, procedures, and training materials.
- Train and support Document Controllers and project teams to ensure effective system utilization.
- Identify opportunities to eliminate manual workarounds and improve document control efficiency through digital solutions.
Education
- Bachelor's degree in engineering, Construction Management, Information Management, Business Administration, or a related discipline is required.
Experience
- 10+ years of professional experience in document control, preferably within GCC construction, engineering, or major project environments.
- Minimum 3 years of experience leading or managing Document Controllers.
- Proven experience managing document control across multiple projects.
- Demonstrated experience implementing, administering, or improving a digital document management platform.
- Strong understanding of construction project documentation and contractual submission requirements.

- Advanced/expert experience with Aconex, SharePoint, SAP, or equivalent platforms.
- Strong proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Strong understanding of ISO 9001 and Quality Management Systems.
Certifications
The following would be advantageous:
- ISO 9001 Internal Auditor Certification
- Aconex, SharePoint, SAP, or equivalent document management platform certification.

- Fluent Arabic and English, both written and spoken, is required.
