Job Description

We're looking for a detail-oriented and organized Document Controller to join our team in Makkah, Saudi Arabia. In this role, you'll be the backbone of our documentation management system, ensuring that all project records, engineering documents, and correspondence are meticulously organized, easily accessible, and compliant with company standards. Drawing on your formal training and professional experience in document control, you'll apply your thorough knowledge of project monitoring, business practices, and document filing methodologies to work collaboratively with project managers, engineers, and administrative staff. You'll maintain comprehensive document libraries and support seamless project operations from initiation through closeout.

  • Establish, maintain, and continuously update comprehensive libraries of reference documents in full compliance with company quality standards and record-keeping procedures, applying certified document control methodologies
  • Organize and correlate project and proposal records using established filing methods and business practices, ensuring accurate categorization and easy retrieval for authorized personnel
  • Type, copy, distribute, and file project correspondence, meeting minutes, and other critical documentation with precision and efficiency, utilizing computer programs and filing systems
  • Assist project managers and directors in preparing detailed meeting minutes and maintaining accurate records of project decisions through systematic monitoring and documentation practices
  • Prepare and assemble operations manuals and job data books, including developing comprehensive indexes, organizing materials, and coordinating timely printing and assembly in accordance with business practices
  • Establish and maintain computerized indexes for active engineering documents using industry-standard software and computer programs; generate reports as required by project leadership
  • Manage data distribution systems and schedules for assigned projects based on client, project, and supplier requirements, applying knowledge of task allocation and project monitoring
  • Prepare transmittals for engineering documents and requisitions, ensuring all documentation is complete, properly routed, and compliant with established filing methods
  • Arrange document cataloguing, packing, and long-term storage or disposal of engineering documents at project closeout in accordance with company policies and archival best practices
  • Support office administration duties, including maintenance requests and materials orders, to ensure smooth operational workflow and business continuity

Qualifications

**Required Qualifications:**

  • Diploma or higher qualification in business administration, engineering, construction management, or related field
  • Certificate of training and professional experience in document control, records management, or similar administrative field
  • Minimum 5 years of professional experience in document control or related administrative roles on large-scale building, commercial, or industrial projects
  • Thorough knowledge of project monitoring, business practices, document filing methods, and task allocation procedures
  • Proficiency with document control software platforms (such as Aconex or equivalent systems)
  • Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and other computer programs relevant to document management
  • Excellent organizational and time management skills with demonstrated ability to manage multiple priorities
  • Strong written and verbal communication skills in English
  • Meticulous attention to detail and commitment to accuracy in all documentation
  • Comprehensive knowledge of filing systems, records management, and archival best practices
  • Ability to work both independently and collaboratively within cross-functional teams

**Preferred Qualifications:**

  • Advanced certifications in document control, records management, or information governance
  • Experience in construction supervision or engineering design consultancy environments
  • Familiarity with quality assurance processes and compliance documentation requirements
  • Experience with additional project management or document control software platforms
  • Knowledge of construction or engineering industry standards and practices
