Job Description

Roles, Responsibilities, Duties

  • Implement and update records classification, retention, and disposal scheduling plans.
  • Classify, code, cross-reference, log, and store records.
  • Develop document inventories and maintain indexes for classification systems.
  • Operate information retrieval systems to research and extract records according to established guidelines in response to requests.
  • Label, prepare and transfer information files according to established records management life-cycle procedures and schedules.
  • Ensure compliance with Company's electronic filing /documentation system.
  • Fully responsible for maintaining documents/ letters/ email on electronic storage, dispatch/upload/ download & distribution.
  • Coordinate with company's IT department & Project Engineers for upkeep of the system and effective usage amongst PMT.
  • Ensuring that new and existing records are processed and available when required.
  • Responsible for keeping comprehensive records of all documents being issued and filing documents received in accordance with filing protocol.
  • Attach and issue documents under transmittals also logging all incoming and outgoing documents.
  • Responsible of scanning documents and keeping an organized file and keeping it in project wise sequence as required.
  • Work closely with Project under instruction from Engineers/PMT.
  • Maintain files of correspondences, reports, brochures, technical documents, internal memos.
  • Maintain strictly confidential files.
  • Perform any other related duties as required by his/ her Manager/ Head of Department.
  • Dealing with other department/personnel on his/ her manager's behalf, including ensuring proper document courier send & receive procedure are followed & recorded.
  • Follow Company Quality, HSE and ISM Safety Management System requirement as far as applicable to his job function.

Education & Qualification:

Bachelor's Degree / Diploma / Certificate

Experience and Skills:

Industry Experience (No. of years):

1 to 3 years

Position/functional experience (No. of years):

1 Year

Competencies and Skills:

Excellent Knowledge of MS office and relevant experience
