Junior Document Controller
Department: Project Management / Document Control
Reports To: Project Manager
Location: Project Site / Head Office
Job Purpose
To support the project team in organizing, controlling, distributing, and maintaining project documents and records, ensuring that all documents are properly filed, tracked, updated, and accessible to authorized personnel.
Key Responsibilities:
1- Receive, register, and distribute project documents, drawings, specifications, RFIs, submittals, transmittals, and correspondence.
2- Maintain an organized electronic and hard-copy filing system for project documentation.
3- Update and maintain Document Registers, Drawing Registers, and Transmittal Logs.
4- Ensure documents are issued to the correct parties and that the latest revisions are available to the project team.
5- Track document submissions, approvals, comments, and revisions.
6- Assist in controlling and maintaining Approved, Under Review, Superseded, and As-Built documents.
7- Follow up with company engineers regarding outstanding ( rejectueed ) documents to be resubmitted for approvals.
8- Ensure proper naming, numbering, revision, and filing of documents according to company/project procedures.
9- Upload and retrieve documents from the project's document management system or shared platforms.
10 - Assist with preparing daily/weekly document control reports.
11- Maintain confidentiality and ensure controlled access to project information.
12- Support the project team with administrative/documentation requirements.
13- Ensure obsolete or superseded or rejucted documents are properly identified and removed from active circulation.
Required Qualifications
Bachelor's degree or diploma; preferably in Business Administration, Engineering, Architecture, or a related field.
0–2 years of experience in document control, preferably within construction, contracting, engineering, or real estate projects.
Fresh graduates with strong organizational and computer skills may be considered.
Very Good command of Microsoft Office, especially Excel and Word.
Basic understanding of construction drawings and project documentation is preferred.
Good English reading and writing skills.
Strong organizational and follow-up skills.
High attention to detail and accuracy.
Ability to work under deadlines and handle multiple documents simultaneously.
Preferred Skills
Experience with AutoCAD is an advantage.
Basic knowledge of construction terminology and document workflows.
Good communication skills with engineers, consultants, subcontractors, and suppliers.
