Role Summary
Responsible for the comprehensive management of all project and design-related documentation for the Development Company. Oversee the creation, organization, and maintenance of document processes and workflows to ensure efficiency and compliance. Ensure all controlled documents are accurately edited, updated, verified, approved, and distributed to the relevant stakeholders. Maintain proper labeling, numbering, and secure storage of documents, guaranteeing easy accessibility for employees while archiving records systematically.
Key Responsibilities
- Manage all Internal departments related documents.
- Update and monitor procedural documents and forms.
- Create and manage the hierarchy of documents and process systems.
- Take responsibility for identifying, classifying, and storing documents.
- Conduct frequent document audits to ensure they are up to date and accurately reflect recorded evidence.
- Ensure that revised documents are easily accessible.
- Assist in communication during external audit processes.
- Comply with company-imposed specifications and document control procedures.
- Supervise documents through their full life cycle (including initiation and archiving).
- Review and edit incoming documents in preparation for distribution.
- Create efficient and effective systems for organizing and storing documents.
- Ensure proper organization and security of documents (both paper and electronic).
- Record document requests and assist in retrieving documents as needed by staff.
- Make documents available, notify relevant personnel, and distribute them to concerned recipients.
- Confirm the delivery of documents to the appropriate employees.
- Collaborate and communicate with direct managers and project managers.
Education & Experience
- Bachelor's degree in Engineering / Construction Management or a related field (or equivalent professional experience)
- 25 years of experience in document control or regulatory office work in Dubai, construction, architecture, or real estate industry.
