Job Description

We are seeking an organized and efficient UAE National Document Controller to join our team at our project site in Dubai, United Arab Emirates. As the Document Controller, you will play a crucial role in managing and controlling all project-related documents, ensuring compliance with company standards and regulatory requirements.

Co-ordinate with Project Managers to ensure correct document and drawing management is implemented

To play an active role in implementation of QA procedures and implementation of ISO certification

Archive project directories from Computer and manage these CD's

Arranging Printing of documents and Deliverables

Complies with Company Systems

Log / Record all incoming and outgoing transmittals, submittals, reports and other company documents

Issue design drawings to Contractor, Local Authorities and others as directed

Maintain registers of drawings, issued to/received from, and approved by

Maintain current drawing sets for engineers and architects and ensure superseded drawings identified and filed.

Maintain NCR, RFI and submittal registers.

Record all incoming & outgoing RFI's & submittals, and monitor WME's response time, advising Egis staff when responses are required to comply with contractual limits.

Maintain Expedition / Aconex / Prolog or other document control softwares

Assist and stand in for Administrative assistant as and when required

Handling FTP Sites for uploading and downloading documents

Responsible for ordering and approving stamps as per Egis standards

Controlling Archives and Library

Co-ordinate with other offices for the tender and construction packages issue

Aid site teams to establish correct document control procedures at the start of new projects as per client specifications

Prepare outgoing register for each drawings/ documents /calculation/ submission

Maintain full and up-to-date knowledge of all relevant technical and quality areas and associated regulations

Keep up to date and attend training courses in relation to the company systems upon approval from management

To provide efficient and effective administrative and clerical support to the managers and staff

Introduce cost cutting measures (pertaining to printing), wherever possible

General document control duties

Qualifications

  • Bachelor's degree or related field
  • Proficiency in document management systems and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Proficiency in document control software Aconex / Prolog or other document control softwares
  • Strong knowledge of filing and archiving systems
  • Excellent data entry and record-keeping skills
  • Outstanding written and verbal communication abilities
  • Detail-oriented with a strong focus on accuracy and quality
  • Knowledge of UAE construction industry standards and regulations
  • Ability to work efficiently in a fast-paced environment
