Maintaining Document Management System. Create and maintain users and user permissions
Create and maintain business units directories and organizational structure
Gather all the documents and upload in the system with classification. Create and analyse Access control lists (ACL) per user and per business units and work together with corporate security team and other IT teams to maintain system health
Perform Level 1 support on system, solving minor issues and raise tickets to DMS support vendor.
Follow tickets with IT and DMS vendor and communicate with DMS users. Create and maintain document types, attributes, and what business see as required
Monitor regulatory activity (Classification of Documents) to maintain compliance with records and document management laws.
Assist in determining document management policies to facilitate efficient, legal, and secure access to electronic content.
Consult with end users regarding problems in accessing electronic content.
Conduct needs assessments to identify document management requirements of departments or end users.
Implement scanning or other automated data entry procedures, using imaging devices and document imaging software.
Ensure updated information related to new developments in the Document Management System Solution (Keep abreast of developments in document management by reviewing current literature, participating in workshops, training, or professional conferences.)
Prepare support documentation and training materials for end users of document management systems.
Perform any additional project, task or activities assigned/delegated by the Line Manager.
Qualifications
Bachelor's degree in Business or equivalent
3 years of proven relevant work experience on systems administration.
2 to 3 years of experience working with various teams to achieve business goals.
