Draftsmanand Design Coordinator (Full-Time, Office-based)

ROLE OVERVIEW

The Draftsman and Design Coordinator works directly under and reports to the Design Lead, taking ownership of design documentation, drawing production, and project coordination across active fit-out projects. This is a substantive, hands-on role for an experienced design professional who can hit the ground running, manage multiple workstreams independently, and uphold a high standard of technical output with minimal supervision. The successful candidate will be equally comfortable producing precise CAD drawings and managing the administrative and coordination side of a project. Someone who understands both the design and delivery process and can bridge the two effectively.

KEY RESPONSIBILITIES

Design Documentation & Deliverables

  • Assist the Design Lead in preparing, updating, and organising design drawings, presentations, and specifications
  • Maintain accurate, version-controlled drawing registers and document management systems
  • Produce or update CAD drawings, mood boards, material schedules, and finish specifications as directed
  • Prepare design packages for client presentations and internal design reviews
  • Coordinate drawing submissions and track revision cycles across all active projects

Project Coordination Support

  • Act as a coordination point between the Design Lead, Project Manager, and site teams to ensure design intent is clearly communicated
  • Occasionally accompany the Design Lead on site visits to verify design implementation and document progress
  • Support the tracking of RFIs (Requests for Information) and design-related queries from site teams
  • Maintain and distribute meeting notes, design decision logs, and action trackers
  • Liaise with material suppliers, FF&E vendors, and subcontractors to obtain samples, technical data, and quotations

Material & FF&E Coordination

  • Assist in sourcing, comparing, and tracking materials, finishes, furniture, fixtures, and equipment
  • Maintain up-to-date material libraries and physical sample archives
  • Coordinate sample submissions and approvals with clients and the Design Lead
  • Track procurement timelines for design-specified items and proactively flag risks or delays

Administrative & Document Support

  • Maintain organised project folders (digital and physical) in line with Phoenix document management standards
  • Assist in preparing reports, handover documentation, and project close-out files
  • Support the Design Lead with scheduling, correspondence, and day-to-day team operations
  • Prepare and format client-facing documents to Phoenix brand and quality standards

QUALIFICATIONS & REQUIREMENTS

Education: Bachelor's Degree in Interior Design or Architecture from an accredited university 

Technical Skills

  • Proficiency in AutoCAD (required)
  • Working knowledge of Adobe Creative Suite: InDesign, Illustrator, Photoshop
  • Familiarity with 3D visualisation tools such as SketchUp, 3ds Max, or equivalent is an advantage
  • Competent in Microsoft Office (Word, Excel, PowerPoint)
  • Ability to read and interpret construction drawings, BOQs, and technical documents

  • High attention to detail with a strong commitment to accuracy and quality
  • Excellent organisational skills with the ability to manage multiple tasks across concurrent projects
  • Clear written and verbal communication skills in English; Arabic is an advantage
  • Collaborative, receptive to direction, and comfortable working within a small, close-knit team
  • Proactive by nature, identifies gaps and follows through independently 
  • Resilient and adaptable in a fast-paced, deadline-driven environment
