Event Coordinator (3 Months Contract with Possible Extension)

We are seeking a proactive and highly organized Event Coordinator to join our client's team in Al Ain. The ideal candidate must currently be based in Al Ain, UAE and available for immediate joining. This is a 3-month contract role with a possible extension, depending on performance and business requirements.

The successful candidate will play a key role in planning, coordinating, and executing events from concept to completion, ensuring all activities are delivered on time, within scope, and to the highest quality standards.

Salary: Up to AED 10,000 per month depending on experience and qualifications.

About the Role

The Event Coordinator will support the planning and delivery of exhibitions and events. This role requires strong coordination skills, attention to detail, and the ability to manage multiple stakeholders, suppliers, and timelines simultaneously.

The objective is to deliver seamless, well-executed events that enhance brand presence, meet client expectations, and support overall business objectives.

Key Responsibilities

  • Coordinate end-to-end event planning and execution, including logistics, scheduling, and on-site support.
  • Liaise with clients to understand event requirements, objectives, and expectations.
  • Coordinate with internal teams to ensure smooth alignment on event deliverables.
  • Manage relationships with external vendors, venues, and suppliers.
  • Assist in budgeting, cost tracking, and expense reconciliation for events.
  • Oversee event setup, live execution, and breakdown to ensure operational excellence.
  • Prepare event schedules, run sheets, and checklists to support flawless delivery.
  • Monitor event timelines and proactively resolve any issues that arise.
  • Ensure compliance with health, safety, and venue regulations.
  • Prepare post-event reports, including feedback, performance insights, and recommendations.

Key Requirements

  • Fluency in Arabic and English (spoken and written)
  • Must be currently based in Al Ain and available for joining on immediate or short notice.
  • Must hold a valid UAE visa with at least 6 months validity and be legally eligible to work in the UAE.
  • Minimum of 4 years of relevant experience in event coordination or event operations, preferably within the UAE.
  • Bachelor's degree or equivalent qualification is preferred.
  • Experience in managing vendors and internal / external stakeholders.
  • Practical knowledge of event logistics, vendor coordination, and on-site execution.
  • Problem-solving mindset with a proactive and hands-on approach.
  • Excellent communication skills and excellent attention to detail.
  • Ability to work under pressure and manage tight deadlines.
  • Proficiency in health, safety, and venue regulations.
  • Proficiency in MS Office and event planning tools.
