Job Description

The Event Executive will be handling the execution of projects and events while ensuring that all logistics requirements are carried out according to the project/events plan as well as budget and timeline set by the Senior Events Manager. As well as works closely with other departments to ensure that all operational requirements of the events are fulfilled. The Event Executive should execute each event within guidelines with Maison Pyramide standards while ensuring that it enhances and uplift the client image. As well as handle communication with external suppliers and vendors.

JOB DUTIES & RESPONSIBILITIES

  • Create strategic plans and concepts for all types of events, experiences and projects according to Maison Pyramide standards and clients guidelines.
  • Understand and grasp briefs as well as clients concepts and accordingly deliver creative pitch solutions matching the clients needs.
  • Develop and maintain strong relationships with clients, vendors and suppliers.
  • Manage and reconcile budgets effectively as well as keep track of all payment records.
  • Plan, secure, coordinate, organize and arrange all facets of events from initial brief to final activation including:

- Manage events from conceptualization to execution

- Source and coordinate venue and accommodation booking

- Plan room and space layouts as well as event flow

- Liaise & managing with suppliers and vendors

- Set entertainment program plan

- Gather costs and manage event budgets

- Design & dcor production

- Coordinate on site logistics including catering, audio visual equipment, furniture, and client giveaways, etc.

  • Source for event support material as needed.
  • Manage multiple projects effectively and efficiently in accordance to the set timelines.
  • Attend site visits, client introduction and meetings.
  • Compile and complete event follow up activities following the term of employment to ensure complete hand over to the events team.
  • Ensure all event-related files and records are updated regularly.

KNOWLEDGE & EXPERIENCE

  • Proven experience delivering top-notch events in Riyadh
  • Minimum 2-3 years experience in an agency environment
  • Fluent in English
  • Proven experience in large-scale event production, brand experiences, private events
  • Experience and exposure working within the luxury industry
  • Highly connected with a network of trusted suppliers and vendors along with a good understanding of event related services in Riyadh venues, production and AV companies, caterers, gifting suppliers etc.
  • Thrives in a fast-paced, ever-changing environment
