Role Purpose
The Events Manager is responsible for leading the end-to-end planning, management, and execution of all events at the Academy, ensuring seamless delivery, high-quality experiences, and alignment with institutional standards. The role oversees event operations, cross-functional coordination, audience management, and continuous improvement of processes to enhance impact and efficiency.
Key Responsibilities
Event Management & Execution
- Lead the full lifecycle of all event types, including public events, internal events, visits, tours, and closed sessions.
- Ensure all events are delivered smoothly, with all logistics, resources, and stakeholder requirements fully met.
Cross-Functional Coordination
- Collaborate with internal teams (IT, General Services, Security, and others) to ensure effective planning and execution.
- Align timelines, requirements, and resources across functions.
Event Operations & Process Enhancement
- Maintain a centralized overview of all events, including planning, partners, execution, and outcomes.
- Review and improve processes to enhance efficiency, consistency, and scalability.
- Drive digital transformation initiatives within event operations.
Vendor Management
- Manage relationships with external vendors and service providers, ensuring quality delivery and adherence to agreed standards.
- Oversee vendor selection, coordination, and performance to ensure successful event execution.
Team Management
- Lead and coordinate event support staff, ensuring clear roles, responsibilities, and effective on-ground execution.
- Provide guidance and oversight to ensure high performance and alignment with event objectives.
Content & Programming Oversight
- Review event topics and content to ensure diversity, relevance, and alignment with institutional priorities.
- Maximize audience interest and attendance across events.
Audience Management & Communication
- Maintain accurate audience records, attendance tracking, and distribution lists.
- Manage communication channels for invitations, updates, and community engagement.
Performance & Reporting
- Track event performance through surveys, feedback, and KPIs.
- Prepare event, strategy, and performance reports for management.
Budget & Governance
- Manage event budgets and ensure cost efficiency.
- Ensure compliance with policies, governance standards, and audit requirements.
Event Projects & Infrastructure
- Lead and support event-related projects, including venue, technology, and space enhancements.
