Job Description

As a Event Production Manager, you will oversee the entire production process, ensuring that production operations run smoothly and efficiently. You will play a pivotal role in overseeing the successful execution of events, from concept to completion. You will manage all aspects of event production, including logistics, vendor coordination, budgeting, and on-site management. This role demands strong leadership, exceptional organizational skills, and a deep understanding of the event industry.

Key Responsibilities

Plan and manage large-scale events from inception to execution, ensuring all elements meet client expectations, brand standards, and budgetary requirements.

Develop detailed production schedules, budgets, and resource plans for each project.

Oversee day-to-day production activities, ensuring smooth coordination across creative, operations, and client teams.

Lead, mentor, and motivate the production team, delegating project responsibilities to junior staff or freelancers to build capability and maintain efficiency.

Identify, onboard, and maintain a trusted network of freelance production and design professionals, ensuring clear understanding of their strengths for effective resource allocation.

Champion creative innovation by developing and leading at least three new, original event concepts annually, supported by research, supplier collaboration, and feasibility planning.

Build and sustain strong partnerships with suppliers, negotiating preferred agreements with AV and production vendors to secure competitive rates and value-added services (including renders, technical drawings, and mock-ups).

Oversee all vendor relationships, ensuring quality delivery, timely execution, and alignment with event requirements.

Take ownership of guest management and logistics streams for select projects, ensuring exceptional client service and smooth operational delivery.

Ensure that all productions comply with health and safety regulations, risk management standards, and company policies.

Manage and track all production budgets and expenses, identifying opportunities for cost efficiencies without compromising quality.

Continuously drive innovation in event design and execution, keeping projects fresh, engaging, and aligned with Quintessentially's brand excellence.

Collaborate with senior management to review event outcomes and implement learnings for process improvement and team development.

Foster a high-performing, collaborative culture within the production team, supporting training, mentoring, and ongoing professional development.

Requirements

Education:Bachelor's degree in Event Management, Production, Design, or a related topic (or equivalent experience).

Experience:Minimum5 yearsof event production experience within luxury, experiential, or large-scale event settings.

Technical Skills:

Proficiency in production planning, budgeting, and logistics.

Strong understanding of AV, staging, lighting, and creative design processes.

Familiarity with vendor and procurement management systems.

Leadership:Demonstrated ability to lead teams, delegate effectively, and mentor junior staff.

Communication:Excellent verbal and written communication, with confidence in client-facing interactions.

Problem-Solving:Skilled in managing multiple projects under pressure while maintaining exceptional attention to detail.

Negotiation:Proven ability to secure value-driven supplier contracts and manage vendor performance.
