Job Description

Job Summary

The Project Manager will oversee the planning, execution, and delivery of a wide range of events, including corporate events, exhibitions, conferences, and entertainment experiences. This role ensures projects are completed on time, within budget, and to the highest quality standards, while coordinating with internal teams, clients, and external vendors.

Key Responsibilities

Project Planning & Execution

  • Manage end-to-end event life-cycle from concept to post-event evaluation
  • Develop detailed project plans, timelines, and budgets
  • Define project scope, goals, and deliverables in collaboration with clients

Client Management

  • Serve as the primary point of contact for clients
  • Understand client requirements and translate them into actionable plans
  • Provide regular updates and ensure client satisfaction

Vendor & Stakeholder Coordination

  • Source, negotiate, and manage vendors (production, AV, venues, catering, etc.)
  • Coordinate with government authorities and permits (important in KSA)
  • Liaise with internal teams (creative, production, logistics, marketing)

Budget Management

  • Prepare and manage project budgets
  • Track expenses and ensure cost efficiency
  • Handle financial reporting and approvals

On-Site Event Management

  • Oversee event setup, execution, and dismantling
  • Ensure health, safety, and compliance standards are met
  • Troubleshoot issues in real time

Team Leadership

  • Lead and coordinate cross-functional teams
  • Assign tasks and monitor performance
  • Mentor junior team members when needed

Reporting & Evaluation

  • Conduct post-event analysis and reporting
  • Identify improvements and best practices

Requirements

Education

  • Bachelor's degree in Event Management, Business Administration, Marketing, or related field

Experience

  • 4–7+ years of experience in event management or project management
  • Experience in Saudi Arabia or GCC is highly preferred
  • Proven track record of managing large-scale events
  • Architecture background

Skills

  • Strong project management and organisational skills
  • Excellent communication and client-facing abilities
  • Budgeting and financial management
  • Problem-solving and decision-making under pressure
  • Knowledge of local regulations and permitting processes in KSA

Technical Skills

  • Proficiency in project management tools.
  • Microsoft Office Suite (Excel, PowerPoint, Word)

Preferred Qualifications

  • PMP Certification or equivalent
  • Experience in mega-events, exhibitions, or entertainment projects
  • Arabic language proficiency (preferred but not mandatory)
