Job Description
JOB PURPOSE
This position main role is to ensure the efficient and compliant administration of the company's lease portfolio by managing all associated documentation, maintaining precise data within the SAP leasing module, and facilitating clear communication between internal stakeholders, tenants, and landlords regarding contractual and financial obligations.
Qualifications and Education:
- Bachelor's degree in business administration, Finance, or a related field is preferred.
- High accuracy and speed in data entry and record-keeping.
- Basic understanding of lease terminology, contract structure, and real estate documentation.
- Knowledge of basic accounting principles related to rent, service charges, and financial tracking.
- Excellent verbal and written communication skills in English
Experience:
- Minimum of 2-3 years of administrative experience, preferably in Leasing, Real Estate, or Property Management.
- Proven experience in reviewing, processing, and maintaining legal documents or contracts.
- Expert proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is required, particularly advanced skills in Excel for tracking and reporting financial data.
- Strong practical experience with SAP (specifically the leasing/RE module) or other major Enterprise Resource Planning (ERP) or lease management software is mandatory.
JOB RESPONSIBILITIES:
- Prepare, review, and process all lease agreements, addendums, renewals, and terminations.
- Maintain organized and up-to-date digital and physical lease files, ensuring easy accessibility and compliance.
- Follow up on missing documents, necessary approvals, renewal milestones, and pending signatures to ensure timely execution.
- Upload and update all lease contract data, including terms and financial information, in the SAP leasing module.
- Maintain and update leasing trackers and internal databases with current contract statuses and key dates.
- Track rent payments, security deposits, Turnover Rent (TOR), and service charges; follow up on delayed or pending payments and actively support the resolution of any financial discrepancies.
- Serve as a primary point of contact for tenants and landlords regarding contract requirements, documentation, and operational issues; communicate effectively with internal teams (e.g., Finance, Legal, Operations) to support seamless leasing and contract management processes.
- Prepare and issue official letters, notifications, and other formal communication to landlords and tenants; coordinate with mall management or landlords as needed to resolve day-to-day operational issues affecting the leased properties.
