Executive Business Administrator

Salary: AED 15000/-

Position Overview:

We are seeking a seasoned Executive Business Administrator with a minimum of 5+ years of experience in supporting senior leadership (GM and CXO level). The ideal candidate will exhibit exceptional professionalism, discretion, and organizational skills while thriving in a fast-paced corporate environment. This role demands the ability to manage multiple priorities, maintain confidentiality, and build effective relationships across all levels of the organization.

Key Responsibilities:

  1. Executive Support:
  • Provide administrative support to GM and CXO-level executives.
  • Manage complex calendars, coordinate meetings, and handle travel arrangements.
  • Prepare and organize correspondence, reports, presentations, and documentation.
  1. Confidentiality & Professional Discretion:
  • Maintain the highest level of confidentiality and professionalism in handling sensitive information.
  • Demonstrate emotional intelligence and the ability to navigate complex interpersonal situations.
  1. Corporate Environment Expertise:
  • Act as a liaison between executives and internal/external stakeholders.
  • Ensure smooth communication and collaboration across the organization.
  1. Problem Solving & Creativity:
  • Exhibit a creative and proactive approach to problem-solving.
  • Anticipate the needs of executives and address challenges with a solution-focused mindset.
  1. Time Management & Organizational Skills:
  • Prioritize tasks and manage multiple projects simultaneously.
  • Implement effective organizational systems to enhance efficiency and productivity.
  1. Compliance Adherence:
  • Understand and adhere to corporate compliance policies and processes.
  • Take immediate corrective actions to ensure full compliance and mitigate risks.
  1. Cross-Group Collaboration:
  • Build and maintain effective working relationships across teams and departments.
  • Facilitate seamless coordination with internal and external contacts.

Qualifications and Skills:

  • Experience: Minimum of 5+ years in executive administrative roles, supporting GM or CXO-level leadership.
  • Communication Skills: Exceptional verbal and written communication abilities.
  • Technical Proficiency:
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, OneNote, OneDrive, Teams, etc.).
  • Familiarity with internal Microsoft tools like MSS, iCIMS, HeadTrax, MS Space, MS Travel, Visio, and Forms (or willingness to attain proficiency).
  • Interpersonal Skills:
  • Strong emotional intelligence and discretion in handling sensitive information.
  • Ability to foster collaboration across all organizational levels.
  • Problem-Solving: Creative thinker with a customer-focused and can-do attitude.
  • Organizational Skills: Outstanding time management and attention to detail.
