PURPOSE OF THE ROLE:
Brooki is scaling across the UAE and the GCC as a joint venture between Bellamy Holdings and Arada Food and Beverage. This role is the senior support and coordination point for the Middle East business: supporting UAE operations leadership, collaborating with the Brooki global team in Australia, and acting as the single interface into Arada corporate functions.
PRIMARY RESPONSIBILITIES:
- Support UAE operations leadership across the retail network and production facilities.
- Maintain the UAE and GCC expansion roadmap and store opening tracker.
- Act as the single interface into Arada corporate functions: legal, finance, HR, IT, leasing, projects, quality, marketing and procurement.
- Route requisitions, payments and budget approvals through Arada.
- Prepare reports and presentations for management reviews and committees.
- Coordinate landlord and mall matters: handover, fit-out milestones, trading hours and guarantees.
- Coordinate counsel on leases, licences, trademarks and collaboration agreements.
- Administer trade licences, permits and visas, and keep an expiry register for renewals.
- Prepare documents for signature, and own document control, filing and version control.
- Manage supplier and vendor relationships, including onboarding, quotations and follow up.
- Coordinate shipments, customs clearance, cargo insurance and deliveries.
- Coordinate partner launches across the UAE and KSA, including commercial summaries and timelines.
- Collaborate with the Brooki global team and provide a weekly picture of UAE and GCC status.
- Manage calendars across time zones, and issue agendas, minutes and briefing documents.
- Coordinate travel arrangements, itineraries and logistics for events and meetings.
- Liaise between the COO and internal and external stakeholders.
- Assist in drafting communications, memos and strategic updates.
- Track every action to closure with an owner and a date, and flag anything stuck beyond 48 hours.
- Maintain boards and trackers in Microsoft 365 and monday.com, and use AI tools daily.
Handle confidential information with discretion and professionalism.
Qualifications
Bachelor degree or equivalent.
Experience
- Minimum 6 years as an executive assistant, chief of staff or senior operations coordinator, preferably supporting C-Suite leaders.
- Food and beverage or hospitality background, familiar with store operations and suppliers.
- GCC experience essential, with working knowledge of UAE licensing and authority processes.
- Joint venture or group structure exposure strongly preferred.

- Strong written and verbal communication with landlords, authorities, advisers and shareholders.
- Contract and lease literacy: able to abstract key terms and flag risk without being a lawyer.
- High emotional intelligence and business acumen.
- Highly technology capable across Microsoft 365, Teams, HRIS, monday.com and AI tools, and fast to learn new systems.
- Relentless but polite follow up, chasing stakeholders across both organisations until items close.
Arabic, written and spoken, strongly preferred.
