Role Overview

We are seeking a highly polished, discreet, and proactive Executive Assistant to provide comprehensive support to the CEO of a fast-paced luxury retail group. This role requires exceptional organizational skills, attention to detail, and the ability to operate with sophistication and professionalism in a high-performance environment.

Key Responsibilities

Executive Support

  • Manage the CEO's complex calendar, scheduling meetings, appointments, and travel arrangements across multiple time zones
  • Act as the primary point of contact between the CEO and internal/external stakeholders
  • Prepare briefing documents, reports, presentations, and correspondence on behalf of the CEO
  • Screen and prioritize emails, calls, and requests, ensuring efficient time management

Operational & Strategic Coordination

  • Support the CEO in tracking key business priorities, projects, and follow-ups
  • Coordinate with senior leadership, retail operations, and brand teams to ensure alignment on strategic initiatives
  • Prepare agendas, minutes, and action trackers for executive meetings
  • Assist in business reporting, data consolidation, and presentation preparation

Luxury Brand Representation

  • Uphold the brand's image through professional communication and presentation at all times
  • Liaise with VIP clients, partners, and high-profile stakeholders with discretion and etiquette
  • Support coordination of exclusive events, brand launches, and executive engagements

Administrative Excellence

  • Manage confidential documents and sensitive information with utmost discretion
  • Oversee expense management, invoice tracking, and petty cash reconciliation
  • Ensure smooth day-to-day office operations for the CEO

Key Requirements

  • Bachelor's degree in Business Administration or a related field
  • 5+ years of experience as an Executive Assistant, preferably supporting C-level executives in luxury retail, fashion, or lifestyle sectors
  • Exceptional communication and interpersonal skills
  • Strong organizational and multitasking abilities with a high level of attention to detail
  • Proficiency in Microsoft Office Suite and calendar management tools
  • Ability to work under pressure, anticipate needs, and demonstrate sound judgment
  • High level of integrity, discretion, and professionalism
