A leading global real estate & Engineering consulatnt organisation with operations across 150+ countries and a workforce of 100,000+ professionals worldwide is seeking an experienced Executive Assistant to support senior executive leadership.
This role sits at the centre of a complex, fast‑paced environment and requires a high level of discretion, organisational excellence, and the ability to support multiple senior leaders operating across global time zones. The successful candidate will play a critical role in enabling leadership effectiveness by providing seamless administrative and coordination support while championing best practice and continuous improvement.
Responsibilities
- Provide high‑level executive support to multiple members of the C‑suite / Executive Committee, handling sensitive information with absolute confidentiality and sound judgment.
- Manage complex diaries across multiple time zones, balancing shifting priorities, executive commitments, and external stakeholder engagements.
- Coordinate extensive global travel arrangements, including flights, accommodation, visas, ground transport, and itinerary management.
- Support the preparation, formatting, and coordination of executive‑level materials, including presentations, reports, briefing packs, and correspondence to a professional, consistent standard.
- Act as a central point of coordination for executive administration, ensuring processes, workflows, and documentation are well managed and continuously improved.
- Manage expense processing and approvals in line with internal governance and reporting requirements.
- Provide ad‑hoc administrative and operational support to executive leadership and senior management as required, responding flexibly to changing needs.
- Work collaboratively with other Executive Assistants and administrative professionals to ensure seamless support coverage and consistent ways of working.
Qualifications
- Proven experience supporting C‑suite or senior executive leadership, ideally within a large, global or matrixed organisation.
- Demonstrated ability to manage multiple stakeholders, competing priorities, and confidential matters with professionalism and discretion.
- Strong organisational skills, attention to detail, and confidence working across international teams and cultures.
- Proficiency in preparing executive‑level documents and presentations, with a strong command of MS Office and related tools.
- Calm, proactive, and highly adaptable, with the ability to anticipate needs and operate effectively in a demanding environment.
