Job Description

Our client is a dynamic and fast-growing real estate development company with a modern, structured and performance-driven culture. The organization operates with high professional standards, strategic clarity and strong attention to detail across development, sales and operations.

They are seeking for an Executive Assistant with a strong command of Russianwhowill act as a strategic right hand to the Managing Director, providing high-level administrative, operational and coordination support.

This role requires someone exceptionally organized, detail-oriented and proactive, ideally with prior experience in real estate development or a related sector.

The position combines executive support, office administration, vendor coordination, HR and visa assistance, and document management requiring strong structure, discretion and business acumen.

Key Responsibilities

Executive & Strategic Support

  • Provide full administrative and organizational support to the Managing Director
  • Manage complex calendar scheduling, meetings, and travel arrangements
  • Prepare high-quality presentations, reports, and management materials
  • Support in board-level and investor reporting preparation
  • Track tasks, deadlines and follow-ups across multiple projects

Vendor & Project Coordination

  • Coordinate with consultants, contractors, legal advisors and other service providers
  • Monitor deliverables, contracts and documentation timelines
  • Ensure proper documentation flow between departments and external stakeholders

Office & Administrative Management

  • Oversee daily office operations and ensure smooth administrative processes
  • Maintain filing systems (digital and physical) with strong document control
  • Manage correspondence and internal communications

HR & Visa Support

  • Assist with onboarding processes and documentation
  • Coordinate visa applications, renewals and PRO-related matters
  • Support HR documentation, employment contracts and internal records

Legal & Documentation

  • Review and manage contracts and legal documents (NDAs, service agreements, MOUs, etc.)
  • Ensure accuracy and completeness of documentation
  • Maintain strict confidentiality of sensitive business information

Candidate Profile

  • Bachelor's degree in Business Administration, Management or related field
  • Russian language is mandatory
  • 2+ years of experience as Executive Assistant / Personal Assistant to C-level management
  • Strong preference for candidates with real estate development experience
  • Experience working with legal documentation and structured reporting
  • High attention to detail and excellent organizational skills
  • Strong written and verbal communication skills
  • Advanced proficiency in MS Office (PowerPoint, Excel, Word)
  • Ability to work in a fast-paced, high-performance environment
  • Discretion, professionalism and strong sense of responsibility
