We are seeking an Executive Assistant to provide high-quality administrative and operational support to C‑Level Executives, enabling effective time management, smooth coordination of executive activities, and clear communication across the organization. The Executive Assistant plays a key role in supporting executive efficiency, ensuring daily operations run seamlessly, and maintaining confidentiality while interacting with internal and external stakeholders.
Key Responsibilities
Calendar & Schedule Management
- Coordinate and manage daily calendars, meetings, appointments, and travel arrangements for C‑Level executives.
- Monitor schedules to ensure optimal time utilization and timely follow-ups.
Communication & Coordination
- Handle internal and external correspondence on behalf of the executive.
- Act as a key point of contact between executives, internal teams, and external stakeholders.
Document & Report Preparation
- Prepare, review, and distribute reports, presentations, memos, and official correspondence.
- Maintain accuracy and professional standards in all documentation.
Records & Filing Management
- Maintain organized electronic and physical filing systems for executive documentation.
- Ensure easy retrieval of confidential and business-critical information.
Confidentiality & Professionalism
- Handle sensitive information with discretion and always maintain strict confidentiality.
Stakeholder Support
- Coordinate with internal departments and external partners to support executive requirements.
- Assist in follow-ups and action tracking arising from executive meetings.
Event & Meeting Support
- Assist in organizing meetings, workshops, conferences, and executive events as required.
Administrative Support
- Manage calls, inquiries, and daily administrative tasks.
- Provide general executive support to ensure operational efficiency.
Experience and Qualifications:
- Diploma or certification in office administration or customer service
- Up to 5 years of experience supporting senior management or C‑Level executives.
- Strong organizational, time-management, and multitasking skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite and collaboration tools.
- Arabic language proficiency preferred (KSA-based role).
- Ability to work effectively in a fast-paced, professional environment.
