Reports to: Vice President and General Counsel
Purpose:
Provide high-level administrative and coordination support to the Vice President and General Counsel while ensuring the effective functioning of three integrated offices: Legal Affairs, Compliance, and the Office of Institutional Equity (OIE). The position focuses on coordinating workflows, managing sensitive information, and overseeing day-to-day operations without involving independent decision-making or investigative authority
Responsibilities:
- Executive and Cross-Office Support: Provide comprehensive executive and administrative support to the VP and General Counsel by preparing key documents, coordinating meetings and briefings, maintaining smooth crossoffice workflow, and tracking critical tasks and deadlines across Legal Affairs, Compliance, and OIE.
- Compliance and Investigation Logistics: Provide administrative and logistical support for Compliance and OIE cases by scheduling interviews, organizing documentation, and maintaining secure, policycompliant records, while handling all sensitive materials with strict confidentiality and ensuring timely, orderly case management.
- Financial and Internal/ External Liaison: Manage systems and financial operations for all three offices by owning SAP processing, expenditure monitoring, procurement, and reconciliation, while serving as the primary administrative liaison to internal departments and external service providers. Provide professional, discreet coordination with law firms and consultants, manage communications appropriately, and oversee logistics for external meetings, hearings, and engagements.
- Paralegal & Administrative Operations: Support legal and compliance work by providing meticulous document management and evidence organization, while overseeing end-to-end case tracking, preparing draft notices and reports, and coordinating essential logistics for interviews and meetings.
- Process Optimization: Identify administrative or coordination issues and recommend process improvements to enhance efficiency and operational effectiveness.
- General Administrative Support: Perform other administrative duties as required.
Qualifications and Skills:
Education and Experience:
- Bachelor's degree is required; a Master's degree is preferred.
- Minimum of 710 years of progressively responsible administrative or executive support experience, preferably in legal, compliance, HR, or governance environments.
Technical Skills:
- Executive Coordination: Strong organizational and communication skills to manage highvolume workflows and support senior leadership effectively.
- Financial & Systems Proficiency: Competence in SAP and administrative systems, with skill in budget tracking, procurement, and reconciliation.
- Stakeholder & External Engagement: Professional interpersonal skills to liaise with internal departments and external partners, including law firms and consultants.
- Professional Integrity: High discretion, ethical judgment, and cultural competence when managing confidential or sensitive matters.
