Job Description

We are seeking a highly organized, discreet, and proactive Executive Assistant to support our CEO in both professional and selected personal matters.

This role requires exceptional attention to detail, strong organizational skills, and the ability to anticipate needs in a fast-paced international hospitality environment. The successful candidate will act as a trusted partner to the CEO, ensuring seamless coordination of daily activities, priorities, travel, and communications.

The role will also provide administrative support to other members of the Executive Team as required.

Key Responsibilities

Executive Support

  • Manage the CEO's complex calendar, appointments, and scheduling across multiple time zones
  • Prioritize and coordinate meetings, calls, and engagements
  • Prepare agendas, briefing notes, presentations, and supporting documents
  • Draft and manage professional correspondence on behalf of the CEO
  • Track key action items and ensure timely follow-up on commitments and projects
  • Serve as a key point of contact between the CEO and internal or external stakeholders

Travel & Logistics

  • Coordinate international and domestic travel arrangements
  • Organize detailed itineraries, accommodation, transportation, and meeting schedules
  • Support site visits, restaurant openings, and executive events

Personal Assistance

  • Assist with selected personal matters for the CEO with complete discretion and confidentiality
  • Coordinate personal appointments, reservations, and administrative requirements as needed

Administrative Coordination

  • Support communication and coordination across departments
  • Assist with executive reporting and document management
  • Maintain confidential records and sensitive information with the highest level of professionalism

Profile

  • Minimum 4 years experience supporting a CEO, Founder, Owner, or C-level executive
  • Previous experience within hospitality, luxury, lifestyle, or international businesses is highly desirable
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities
  • Highly discreet, trustworthy, and professional
  • Able to manage multiple priorities and work independently
  • Fluent in English; French is an advantage
  • Proficient in Microsoft Office and modern productivity tools
