About the Role
We are looking for an experienced Executive Assistant to support Managing Partners. The role focuses on optimizing executives workload, ensuring efficient task routing, and maintaining structured operational processes.
Key Responsibilities
Calendar Management:
- Manage executives calendars.
- Schedule and coordinate meetings.
- Organize participants and prepare meeting minutes.
- Prioritize and align meeting schedules.
Task Management:
- Route tasks from executives across the organization.
- Track tasks in task management systems.
- Monitor deadlines and execution.
- Filter incoming requests.
- Control approval processes.
Travel Support:
- Arrange business trips (flights, hotels, visas).
- Organize in-person meetings (restaurants, meeting rooms, venues).
Analytical Support:
- Conduct research upon request.
- Prepare analytical reports and presentations.
- Handle personal and administrative tasks for executives.
Requirements
- Higher education degree
- 5+ years of experience as an Executive Assistant or similar role
- English proficiency — C1 or higher
- Strong verbal and written communication skills (Russian & English)
- Ability to multitask in a fast-paced environment
- Excellent organizational and time management skills
