Job Summary
We are looking for a highly organized, proactive, and discreet Executive Assistant (EA) to provide comprehensive administrative and strategic support to the Director. The role requires exceptional coordination skills, confidentiality, attention to detail, and the ability to manage multiple priorities in a fast-paced corporate environment.
Key Responsibilities
- Act as the primary point of contact between the Director and internal/external stakeholders
- Manage the Director's calendar, appointments, meetings, and travel arrangements
- Screen calls, emails, and correspondence; draft responses on behalf of the Director when required
- Prepare agendas, presentations, reports, and briefing documents for meetings
- Coordinate board meetings, leadership meetings, and client meetings
- Take accurate minutes and track action items to closure
- Follow up with stakeholders to ensure timely execution of decisions
- Handle sensitive and confidential information with utmost discretion
- Maintain professional communication with senior leaders, clients, and government entities where applicable
- Maintain organized filing systems (digital and physical)
- Assist in preparing contracts, proposals, and official correspondence
- Ensure documents are reviewed, approved, and archived appropriately
- Arrange local and international travel including visas, flights, hotels, and itineraries
- Coordinate logistics for events, off-sites, and business visits
- Liaise with HR, Finance, Legal, and other departments on behalf of the Director
- Support special projects, presentations, and strategic initiatives as assigned
Qualifications & Experience
- Bachelor's degree in Business Administration or related field
- 58 years of experience as an Executive Assistant, preferably supporting senior leadership
- Prior experience in the UAE / GCC is mandatory
- Strong understanding of corporate etiquette and professional standards
- Excellent verbal and written communication skills (English mandatory; Arabic is an advantage)
- Strong organizational and time-management abilities
- High proficiency in MS Office (Outlook, PowerPoint, Excel, Word)
- Ability to multitask, prioritize, and work under pressure
- Professional maturity, discretion, and attention to detail
