Role : Executive Secretary to the CTO
Location: Dubai
Industry Preference:Banking sector experience is mandatory
Key Responsibilities
Executive Support
- Manage the CTO's daily calendar, appointments, and scheduling.
- Organize meetings, conferences, and internal/external engagements.
- Prepare agendas, minutes, and follow-up action plans.
Administrative Duties
- Draft, review, and manage correspondence, emails, memos, reports, and presentations.
- Maintain and organize confidential documents, files, and records.
- Coordinate travel arrangements, including itineraries, bookings, and logistics.
Office Coordination
- Liaise with department heads, vendors, partners, and other stakeholders on behalf of the CTO.
- Ensure smooth communication flow between the CTO's office and various teams.
- Provide support in coordinating technology projects and departmental initiatives when required.
Operational Efficiency
- Track deadlines, submissions, and project progress for the CTO.
- Assist with documentation, procurement processing, and compliance-related tasks.
- Handle sensitive information with discretion and confidentiality.
Qualifications & Requirements
- Minimum 7 years of experience as an Executive Secretary, Personal Assistant, or similar role.
- Mandatory: Experience in the banking or financial services sector.
- Excellent command of English (written & verbal). Additional languages are a plus.
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional organizational skills with the ability to multitask and prioritize.
- Professional demeanor, integrity, and strong interpersonal skills.
- Ability to work under pressure and maintain confidentiality.
- Currently based in Dubai or willing to relocate immediately.
