Position Overview
We are seeking an exceptionally sharp, proactive, and dynamic Executive Assistant to serve as a strategic partner to the Chief Executive Officer. In this role, you will act as a force multiplier, seamless gatekeeper, and trusted extension of the CEO. You will handle complex administrative logistics, drive executive efficiency, and facilitate communication across senior leadership, the Board of Directors, and key global stakeholders.
Key Responsibilities
- Executive Calendar & Logistics Management: Drive strategic calendar management, balancing competing priorities, shifting schedules, and high-volume meeting requests across global time zones.
- Seamless Travel Orchestration: Coordinate complex international and domestic travel itineraries, visa logistics, ground transportation, and contingency plans.
- Board & Leadership Interfacing: Serve as the primary administrative point of contact for the Board of Directors; organize quarterly board meetings, prepare materials, record minutes, and track follow-up action items.
- Strategic Communication & Briefing: Draft, edit, and review high-level communications, presentations, executive summaries, and confidential memos for internal and external audiences.
- Meeting Preparation & Operations: Partner with the CEO's Chief of Staff to research, compile, and prepare comprehensive briefing packets and agendas ahead of all engagements.
- Project Tracking & Special Initiatives: Track key executive deliverables across departments, ensure deadlines are met, and manage discrete high-priority operational projects.
- Expense & Budget Oversight: Manage executive expense reporting, budget tracking, and vendor approvals with extreme precision and compliance.
Qualifications
- Experience: 8+ years of executive administrative experience, with at least 3–5 years directly supporting a C-Suite executive (preferably CEO/Founder) within a fast-paced technology or high-growth enterprise environment.
- Technical Savvy: Expert proficiency with modern productivity suites (Google Workspace, Microsoft 365), project management tools (Asana, Notion, Jira), and communications platforms (Slack, Zoom).
- Communication: Exceptional written and verbal communication skills with a track record of interacting seamlessly with high-profile stakeholders and board members.
- Discretion: Uncompromising discretion, polished professionalism, and sound judgment when handling strictly confidential information.
- Problem-Solving: Elite organizational skills, acute attention to detail, and a resilient, solutions-oriented mindset under high pressure.
