Role Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to directly support the Managing Director in both strategic and day-to-day operations. This role acts as the central coordination point between management, internal teams, and external stakeholders, ensuring smooth workflow, clear communication, and operational efficiency.

The ideal candidate will be comfortable working in a fast-paced agency environment, capable of handling multiple priorities, and trusted with confidential and sensitive information.

Key Responsibilities

  • Executive & Administrative Support
  • Manage and organize the Managing Director's calendar, meetings, appointments, and reminders.
  • Prepare meeting agendas, attend meetings when required, and record accurate meeting minutes with clear action points and follow-ups.
  • Draft, review, and send professional emails, letters, and internal communications on behalf of the Managing Director.
  • Handle confidential documents and sensitive information with the highest level of discretion.

Coordination & Office Management

  • Coordinate daily office operations including office boys, messengers, and support staff.
  • Manage office supplies, inventory, and vendor coordination to ensure uninterrupted operations.
  • Welcome and host clients and visitors, ensuring a professional and positive experience.
  • Act as a communication bridge between management, teams, and external parties.

Research & Business Support

  • Conduct market, client, and competitor research to support business decisions, proposals, and presentations.
  • Assist in preparing business proposals, presentations, and reports in coordination with internal teams.
  • Support the Managing Director with background research and briefing notes ahead of meetings and pitches.

Recruitment & Light HR Coordination

  • Coordinate interview scheduling and communication with candidates.
  • Assist in basic HR administrative tasks (documents, coordination, follow-ups) without being a full HR role.
  • Support onboarding logistics for new hires when needed.

Qualifications & Skills

Required Skills

  • Proven experience as an Executive Assistant, Personal Assistant, or Administrative Assistant supporting senior management.
  • Excellent written and verbal communication skills (English required; Arabic is a strong advantage).
  • Strong organizational and time-management skills with the ability to handle multiple tasks simultaneously.
  • High attention to detail and strong follow-through on tasks.
  • Proficiency in Microsoft Office / Google Workspace and general office tools.
  • Ability to work under pressure and manage changing priorities.

Reporting Line

  • Reports directly to the Managing Director.
