Role Overview

Aquatop Egypt is seeking a highly organized, commercially aware Executive Commercial & Operations Coordinator to act as the central coordination point between the Managing Partners, suppliers, and key project clients.

This role combines executive office management, supplier communication, commercial pricing analysis, and project coordination. The ideal candidate is detail-oriented, analytical, discreet, and confident in professional communication.

Key Responsibilities

Executive Support to Managing Partners

  • Organize, prioritize, and respond to communications for all Managing Partners
  • Draft professional email responses for approval
  • Prepare meeting briefs and summaries
  • Track action items and ensure follow-up
  • Maintain strict confidentiality

Supplier Communication & Coordination

  • Communicate daily with international and local suppliers
  • Manage project inquiries and pricing requests
  • Follow up on quotations and negotiations
  • Coordinate supplier visits and marketing collaborations
  • Maintain organized supplier documentation

Commercial Pricing & Negotiation Tracking

  • Catalogue and organize all project quotations
  • Compare pricing across suppliers and projects
  • Identify inconsistencies and margin opportunities
  • Create internal pricing benchmarks
  • Support Managing Partners in negotiation preparation

Client & Project Communication

  • Follow up on upper management client communications
  • Draft structured and professional responses
  • Track project deadlines and commitments
  • Maintain organized project documentation

Meetings & Documentation

  • Prepare agendas for internal and external meetings
  • Take structured meeting minutes
  • Track decisions and ensure execution
  • Maintain digital filing and documentation systems

Requirements

Experience

  • 36 years experience in commercial coordination, procurement, executive office support, or project coordination
  • Experience in sanitary ware, construction, interior finishing, or supply industries is highly preferred

Skills

  • Advanced Excel (pricing comparison, tracking sheets)
  • Strong written and verbal communication
  • Excellent organizational skills
