Job Description
General Focus Area:
* Drive effective and efficient day-to-day office operational matters.
* Provide strategic directions on signing operational related (initiatives, reports, approvals,
budget, finance, leaves, procurement, etc.)
* Manage direct communication with the Parent Company Senior Management.
* Serve as the point of contact with the Parent Company for all strategic, administrative
and operational matters.
* Align with the Parent Company standards for compliance, quality control, and legal
matters.
* Manage relationship with key partners such as Landlord, vendors, suppliers, building management, etc.
Functional Area:
* Manage the company engagements with external stakeholders from participations in
international interactions to formulating the Parent Company perspectives with
reference to its strategy and consideration of protecting its interests, with the aim to
develop and maintain the desired partnerships.
* Oversee the logistics and protocol in managing necessitated logistical affairs for the
Parent Company Senior Management.
* Oversee the process of analyzing and researching for investment opportunity.
* Oversee the implementation and governance of compliance policies and procedures for
the company, including Code of Conduct and the Compliance technology solution,
reasonably designed to ensure adherence to best practice and international standards in
respect of business conduct and identification and prevention of financial crime.
* Oversee compliance with company Tax Policy on an enterprise-wide basis.
* Oversee vendor performance to ensure delivery timelines and quality.
* Ensure that all office's staff (employed and outsourced) perform their duties in line with
the job descriptions.
Administrative Tasks:
* Responsible for all administrative matters within the company
* Ensure all operational contracts are administered correctlyand in line with company
procedures
* Support with the establish standard operation procedures
* Maintain accurate records and files
* Provide best-in-class office support and administrative requirements
Projects Support:
* Plan meetings and take detailed minutes for the company executive
* Support in organizing and updating project paperwork
* Assist with research process
* Contribute to assigned tasks related to projects
Operational Tasks:
* Ensure all operational procedures are up to date
* Act as a single point of contact for operational matters
* Review and process operational invoices
* Assist with budget control and forecasting
* Draft and submit operational reports
HR and IT Support:
* Support with the new employee onboarding
* Provide necessary stationery and equipment for new employees
* Act as a temporary liaison for HR, Finance, IT and Procurement Related matters in the
absence of the team member, providing support and guidance to employees and
management as needed, and ensuring that policies and procedures are followed.
Vendor Management:
* Oversee vendor performance to ensure delivery timelines, quality, and requirements are
met
General Support:
* Assist with visitor bookings, meeting room calendar alignment, and desk/office
allocations
* Arrange travel and concierge services for staff and visitors
* Support the planning of events
Patty cash: Manage petty cash budgeting and credit card settlements.
