Job Description

We are looking for an experienced Executive Secretary & Administrative Accountant to support daily office operations in Dubai.

The ideal candidate will combine strong executive support skills with basic accounting knowledge, excellent organization, and proven UAE experience. This role includes managing schedules, handling correspondence, supporting sales logistics, and assisting with invoicing and administrative accounting tasks.

Executive & Administrative Support

  • Manage the executive's calendar, meetings, appointments, and travel arrangements.
  • Prepare, proofread, and edit letters, reports, and presentations.
  • Handle incoming calls, emails, and inquiries with professionalism.

Accounting & Invoicing Support

  • Assist with basic accounting tasks such as:
  • Preparing invoices
  • Recording transactions
  • Coordinating with suppliers and banks
  • Supporting expense tracking and filing
  • Work closely with the finance/admin team to ensure accurate documentation.

Meeting & Coordination

  • Prepare agendas, take minutes, and follow up on action items.
  • Arrange logistics for internal and external meetings or events.

Office Management

  • Ensure efficient daily operations and maintain office supplies.
  • Safeguard confidential documents and maintain organized filing systems.

Communication & Stakeholder Liaison

  • Act as a point of contact between management and internal/external partners.
  • Handle sensitive information with discretion and professionalism.

Project & Sales Support

  • Support ongoing projects with research and administrative follow-up.
  • Assist sales operations with logistics coordination and documentation.
  • Monitor and prioritize tasks to ensure timely completion.

Required Qualifications

Experience

  • Minimum 2 years as an Executive Secretary, Executive Assistant, or similar role.
  • Mandatory UAE experience.
  • Familiarity with basic accounting principles and office management procedures.

Skills

  • Strong proficiency in Microsoft Excel and Microsoft Office Suite.
  • Experience with ERP systems is required.
  • Excellent written and verbal communication in English (Arabic is a plus).
  • Strong organizational, multitasking, and time-management abilities.
