ALAQTAR is on the lookout for a dedicated Executive Secretary who will play a critical role in supporting our executive team. This position involves managing schedules, organizing meetings, and providing essential administrative support to enhance the efficiency of our operations. The ideal candidate is exceptionally organized, capable of handling multiple tasks, and possesses excellent communication skills to interact with various stakeholders effectively.
Key Responsibilities
Organize and maintain the executive&aposs calendar, scheduling appointments, meetings, and travel arrangements
Prepare meeting agendas, record minutes, and follow up on action items
Screen and prioritize incoming communications, including emails and phone calls
Draft and edit correspondence, reports, and other documents as required
Manage office supplies and inventory, liaise with vendors, and ensure optimal office functioning
Maintain confidentiality of sensitive information and handle data with discretion
Assist in bookkeeping tasks and manage periodic reporting
Support special projects and perform additional duties as assigned
Requirements
Proven experience as an executive secretary or in a similar administrative role
Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and office management software
Strong knowledge of office procedures and basic financial principles
Exceptional organizational and multitasking skills
Excellent written and verbal communication abilities
Demonstrated ability to maintain confidentiality and exercise sound judgment
Ability to work under pressure and meet tight deadlines
Associate&aposs or Bachelor&aposs degree in business administration or a related field is preferred
