Job Description

A leading healthcare organization in Abu Dhabi is seeking a highly professional, proactive, and well-organized Executive Secretary to the CEO. The successful candidate will provide high-level administrative and executive support to the Chief Executive Officer, ensuring the efficient management of daily operations, communications, scheduling, and strategic priorities.

Key Responsibilities

  • Manage and coordinate the CEO's calendar, appointments, meetings, and travel arrangements.
  • Prepare correspondence, presentations, reports, minutes of meetings, and other executive documents.
  • Act as the primary point of contact between the CEO and internal/external stakeholders.
  • Screen and prioritize incoming communications, including emails, calls, and requests.
  • Organize board meetings, executive committee meetings, and leadership meetings, including agenda preparation and follow-up actions.
  • Maintain confidential records, documents, and sensitive information with the highest level of discretion.
  • Track and follow up on key action items, projects, and deadlines on behalf of the CEO.
  • Coordinate with various departments to facilitate effective communication and smooth business operations.
  • Prepare briefing materials and background information for meetings and presentations.
  • Ensure compliance with organizational policies and administrative procedures.

Requirements

  • Bachelor's degree in Business Administration, Management, Communications, or a related field.
  • 3–5 years of experience as an Executive Secretary, Executive Assistant, or in a similar senior administrative role supporting C-level executives.
  • Excellent organizational, time management, and multitasking abilities.
  • Strong written and verbal communication skills in English; Arabic language skills are an advantage.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with professionalism and discretion.
  • Strong attention to detail and problem-solving skills.
  • Experience working in the healthcare sector is preferred.

  • Experience supporting CEOs, Board Members, or Senior Executives.
  • Strong stakeholder management and interpersonal skills.
  • Excellent meeting coordination and minute-taking abilities.
  • Ability to work effectively in a fast-paced and dynamic environment.
  • Professional demeanor with a high level of integrity and confidentiality.
  • Familiarity with healthcare industry practices and governance structures is an added advantage.
