Our client, a prominent automotive company based in Dubai, is seeking a dedicated and experienced Executive Secretary to provide comprehensive administrative support to the Chairman. The ideal candidate will be proactive, organized, and capable of handling a wide range of administrative duties with utmost professionalism and confidentiality. Your duties and responsibilities would include but not limited to:
- Provide high-level administrative support to the Chairman, managing calendars, appointments, and travel arrangements.
- Coordinate and organize meetings, conferences, and corporate events, including logistics, agendas, and minutes.
- Handle confidential and sensitive information with discretion and integrity.
- Prepare correspondence, presentations, and reports as required.
- Conduct research and compile data to support decision-making processes.
- Act as the primary point of contact for internal and external stakeholders, demonstrating professionalism and excellent communication skills.
- Manage expense reports and reimbursements efficiently.
- Maintain office efficiency by organizing office operations and procedures controlling correspondence designing filing systems reviewing and approving supply requisitions.
- Handle ad-hoc projects and tasks as assigned.
Requirements
To be considered, you need to meet the following requirements:
- 10 years experience as an Executive secretary or similar administrative role, preferably supporting C-level executives.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong verbal and written communication skills in English.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Ability to work effectively under pressure and maintain a high level of professionalism and confidentiality.
- Bachelors degree in Business Administration, Management, or relevant field is preferred.
- Experience in the automotive industry or a related field is a plus.
