Job Title: Exhibitions/Programs Manager
Reports to: Director of Arts
Location: Dubai, UAE. Travel as required for projects.

Job Description:
This position plays a crucial role at the Foundation in carrying out the day-to-day directives pertaining to gallery's exhibitions and programme logistics. The individual will plan, coordinate, execute and monitor all exhibition and programme related operations, along with collaborative initiatives of the gallery. This entails coordinating with the team, the artists and third-parties towards exhibition design, artwork shipping, customs clearance and handling, exhibition installation and de-installation, coordinating programmes and tours, among other responsibilities listed in detail below.
Exhibitions:
- Prepare budgets for exhibitions and submit it for the director's review
- Plan shipping and logistics of the exhibitions
- Plan and execute temporary import-export of the artworks from various institutions/lenders/collectors.
- Ensure adherence to international safety standards for artwork shipments
- Coordinating temporary exhibition insurance for the artworks
- Liaising with artist/gallery for installation manual of artworks
- Coordinate and execute exhibition production (wall fabrication, painting, vinyl text, etc.)
- Plan and execute installation and de-installation of the temporary exhibitions
- Plan and execute audio, visual and lighting of the temporary exhibitions
- Plan and source A/V equipment for exhibition including placement & delivery and creation of manual.
- Acting as a liaison between various partners for the safety and protection of artworks.
- Scheduling of front desk and other staff for exhibition management.
Programming:
- Coordinating with various practitioners for exhibition related programmes/ talks/ seminars/ symposiums and workshops
- Plan and execute the summer programme in consultation with the director
- Plan and execute the community outreach for the company, including coordinating with schools, colleges, universities, social clubs and cultural institutions
- Plan and execute exhibition tours, virtual and physical along with regional and international institutions
Project Management:
Coordination and Delivery:
- Manage the overall operations, development and successful delivery for the Foundation, adhering strictly to the approved scope, timeline and budgets.
- Liaise closely with the Artistic Director, on-ground team in India, and other stakeholders to ensure alignment and smooth execution of project components.
- Monitor and manage budgets for Foundation in India and UAE components, preparing budgets, payment schedules, and ensuring financial accountability.
- Coordinate with the Foundation's accounts department and project stakeholders to facilitate timely and transparent payments.
- Oversee vendor relations, and resource allocation to maximize project efficiency and deliverables.
- Manage the systematic workflow between teams and all project collaborators.
- Manage at least one international program at the Foundation, coordinating logistics, speakers, moderators.
- Ensure submission of final project completion reports and financial documentation from the Artistic Director to the Foundation.
Program Management:
- Collaborate with the Project Advisor and Director to develop, plan, and manage programs for the Foundation in India.
- Coordinate all aspects of programming including agenda finalization, stakeholder communication, venue and virtual platform logistics, technical and audio-visual requirements, and audience engagement.
- Oversee delivery of the three key programs committed by the team in India during the project period.
- Serve as the central point of contact ensuring smooth communication and stakeholder alignment.
