Job Description

We are seeking a highly organised and proactive Facilities Manager to manage our Arjan building and ensure efficient team operations. This role involves coordinating schedules, managing communications, and assisting with tenant maintenance requests. The Facilities Manager will report directly to the Building Owner. The ideal candidate will excel at multitasking, possess strong communication skills, and demonstrate the ability to handle responsibilities with confidence and authority.

What You'll Do

  • Schedule Management: Arrange and optimize the schedule board to ensure proper job bookings and maximize facilities management team.
  • Job Coordination: Send out job schedules for the following day and additional jobs as needed.
  • Access Management: Apply and monitor community and building access passes, ensuring timely renewals.
  • Schedule Monitoring: Ensure adherence to the actual schedule and follow up on any discrepancies.
  • Project Planning & Execution: Develop project plans, timelines, and budgets; coordinate all building activities.
  • Team & Subcontractor Management: Lead site teams, hire/manage subcontractors, and oversee their performance.
  • Quality & Safety: Implement strict quality control, conduct safety inspections, and ensure compliance with health and safety standards.
  • Resource Management: Manage material procurement, equipment, and site logistics.
  • Stakeholder Communication: Liaise with clients, tenant, facilities management team and senior management; provide progress reports.
  • Documentation & Reporting: Maintain site records, prepare reports, and manage change orders. Prepare cost estimates, budgets, and work timetables.
  • Problem Solving: Address daily site issues, resolve conflicts, and identify potential risks.
  • Contract Administration: Oversee Tenancy contract, Subcontractor contracts and valuations.

What You'll Need

  • Proven experience as a Facilities Manager or in a similar role.
  • Valid certification from a Technical Education institution or a degree in MEP.
  • Strong leadership and communication skills, with the ability to motivate and guide teams to achieve objectives.
  • Well organised, with strong time-management skills and the ability to prioritise work effectively.
  • Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.
  • Strong attention to detail, including the ability to identify minor issues in building structures (internal and external) and to check the quality of work performed by all team members.
  • Good understanding of health and safety requirements in buildings.
  • Experience in cost control and budget management.
