Job Description

Job Purpose:

Responsible for the day to day management, coordination, and delivery of assigned FF&E packages for the project, including Wooden Furniture, Decorative Lighting, Fabrics & Curtains, Accessories, Rugs, and other related FF&E items.

This role requires a strong blend of design, technical, procurement, commercial, and project management skills to effectively manage FF&E packages and ensure that all deliverables meet the project's aesthetic, functional, quality, budget, and programme requirements.

The FF&E Manager will manage and coordinate the FF&E process from sourcing and selection through specification, procurement, production, quality control, delivery, installation, and final handover, working in close coordination with the Senior Procurement Manager and relevant internal and external stakeholders, and in line with the overall procurement strategy, commercial framework, and company policies.

Job Responsibilities:

  • FF&E Coordination: Review and coordinate FF&E packages, ensuring alignment with the approved design, budget, programme, quality standards, and project requirements. Coordinate with the procurement team to manage the sourcing, tendering, supplier evaluation, negotiation, and ordering of FF&E packages. Review supplier quotations and proposals and support negotiations to achieve competitive pricing, suitable lead times, and favorable commercial terms.
  • Sourcing and Selection: Research and identify suitable FF&E products, materials, finishes, supplier recommendation, and manufacturers in line with the approved design and project requirements, including alternatives in accordance with the established procurement strategy.
  • Specification & Technical Coordination: Develop, review, and maintain detailed FF&E specifications, including product descriptions, dimensions, materials, finishes, and installation requirements. Review shop drawings, samples, mock-ups, and technical submissions to ensure compliance with the approved design and project requirements.
  • Vendor Coordination: Coordinate with the procurement team throughout the RFQ/tendering, technical evaluation, supplier comparison, approval, ordering, and follow-up processes. Prepare technical and commercial evaluations and provide recommendations to support procurement decisions. Ensure all procurement activities are conducted in accordance with the approved procurement strategy, procedures, and delegated authority.
  • Commercial Negotiations: Support the Senior Procurement Manager in supplier negotiations, commercial evaluations, cost comparisons, value engineering, and cost optimization initiatives. Monitor supplier quotations, pricing, lead times, payment terms, and other commercial conditions and highlight opportunities, risks, and deviations requiring management review or approval.
  • Quality Assurance: Conduct inspections of FF&E items during all phases of production, delivery and after installation to ensure they meet the required standards and specifications, addressing any discrepancies or issues promptly. Coordinate factory inspections, pre-shipment inspections, and site inspections to ensure FF&E items comply with approved specifications, samples, drawings, and required quality standards.
  • Team Coordination: Coordinate and support to FF&E specialists and team members working on assigned packages. Allocate and monitor activities, ensure timely follow-up, and maintain consistent quality of deliverables. Escalate resource requirements, performance concerns, and significant issues to the Senior Procurement Manager.
  • Procurement Governance & Compliance: Ensure all FF&E activities are undertaken in accordance with company procurement policies, approved processes, project requirements, and delegated authorities. Maintain appropriate documentation and approval records for all assigned packages.

Required Skills & Qualifications:

  • Educational Background: A bachelor's degree in interior design or a related field Architectural / applied art.
  • Experience: 6-8 years of experience in FF&E design, procurement, coordination, or project execution, preferably within the hospitality, hotel, resort, or high-end residential sectors.
  • Design Proficiency: Strong understanding of design principles, color, materials, finishes, furniture, lighting, fabrics, upholstery, accessories, and interior applications.
  • Technical Skills: Strong knowledge of FF&E materials and manufacturing processes, with the ability to read and review technical drawings, shop drawings, specifications, and FF&E schedules. Proficiency in AutoCAD and Excel; knowledge of procurement or project management software is an advantage.
  • Procurement & Commercial Skills: Good understanding of FF&E procurement processes, supplier evaluation, tendering, negotiation, cost control, lead times, and commercial terms.
  • Project Management: Ability to manage multiple FF&E packages and suppliers simultaneously, with strong organizational skills, attention to detail, and the ability to meet demanding project deadlines.
  • Leadership & Coordination: Ability to coordinate and guide FF&E team members and effectively manage relationships with internal teams, consultants, suppliers, manufacturers, contractors, and site teams.
  • Communication: Excellent verbal and written communication skills, with the ability to effectively communicate with multidisciplinary teams and external partners.

  • Problem-Solving: Strong analytical and problem-solving abilities to proactively address challenges arising during the design, procurement, manufacturing, delivery, and installation processes.

  • Quality & Detail Orientation: Strong commitment to quality and design excellence, with the ability to identify discrepancies and ensure that FF&E items are delivered and installed in accordance with the approved design and required standards.
