FF&E Project Coordinator
Key Responsibilities
Procurement & Vendor Management
- Coordinate procurement activities for FFE packages in accordance with project specifications and approved budgets.
- Obtain quotations, prepare comparison sheets, and support supplier evaluation processes.
- monitor order status until final delivery.
- Liaise with international and local suppliers regarding pricing, lead times, technical compliance, and production schedules.
- Follow up on supplier documentation, samples, certifications, and approvals.
Project Coordination
- Review FFE schedules, specifications, drawings, and BOQs.
- Coordinate with designers, consultants, and project teams to resolve discrepancies between FFE schedules, specifications, and procurement packages.
- Maintain procurement trackers and project status reports.
- Monitor project milestones and identify potential procurement risks or delays.
Production & Logistics Monitoring
- Track manufacturing progress and ensure suppliers meet agreed production schedules.
- Coordinate inspections, quality control reviews, and factory acceptance processes when required.
- Coordinate shipping, customs clearance, and site delivery schedules.
Documentation & Reporting
- Maintain accurate procurement records, purchase orders, and supplier correspondence.
- Prepare weekly and monthly procurement progress reports.
- Update procurement tracking sheets and cost reports.
- Ensure all project documentation is organized and readily available.
Stakeholder Coordination
- Act as the primary coordination point between procurement, design, project management, suppliers, and contractors.
- Support resolution of commercial and technical issues impacting project delivery.
Education:
Bachelor's degree in engineering, Interior Design, Architecture.
Experience
- Minimum 3–5 years of experience in FFE procurement, project coordination.
- Experience in hospitality, luxury residential, hotel.
- Experience dealing with international suppliers and manufacturers.
Technical Skills
- Strong understanding of FFE schedules, specifications, BOQs, and procurement processes.
- Experience preparing comparison sheets, procurement trackers, and procurement reports.
- Knowledge of international procurement, logistics, and shipping processes.
- Proficiency in Microsoft Excel, Word, PowerPoint, and procurement tracking tools.
- Strong knowledge in materials and finishing.
- Knowledge of furniture manufacturing processes.
- Familiarity with international furniture brands and suppliers.
