The Senior/Finance Executive will be responsible for overseeing the end-to-end media finance and client billing processes, ensuring accurate revenue recognition, timely billing and collections, vendor payments, and compliance with internal controls and client requirements. The role acts as a key finance business partner to the Commercial and Business teams, driving operational excellence, process improvements, and financial governance across client accounts and media projects.
Key Responsibilities
Revenue and Billing Management
- Manage and oversee the end-to-end media project and client billing lifecycle to ensure timely and accurate revenue recognition.
- Review and ensure media plans, cost estimates, and client purchase orders are properly approved and received prior to project commencement.
- Monitor Work-in-Progress (WIP) balances and conduct regular reconciliations to ensure timely billing and recovery of media and production costs.
- Ensure all client billings are processed accurately and in accordance with contractual terms and client requirements.
- Investigate and resolve billing discrepancies, client disputes, and reconciliation issues promptly.
Business Partnering and Stakeholder Management
- Partner closely with Business, Commercial, and Media teams to monitor project profitability, media costs, and billing status.
- Conduct regular account reviews with stakeholders to identify billing risks, revenue leakage, and aged WIP balances.
- Provide financial guidance and support to business teams on client contracts, billing requirements, and financial processes.
- Collaborate with vendors and internal teams to facilitate smooth processing of invoices and payments.
Accounts Payable and Vendor Management
- Verify the accuracy and completeness of costs recorded against client projects.
- Work alongside Accounts Payable team to ensure timely validation, approval, and payment of vendor invoices.
- Support vendor reconciliation activities and ensure completeness and accuracy of recorded costs.
Financial Reporting and Controls
- Prepare monthly financial reports, management schedules, and balance sheet reconciliations with supporting analysis and commentaries.
- Review account reconciliations and identify unusual transactions or variances requiring management attention.
- Support month-end and year-end closing activities to ensure timely reporting.
Compliance, Audit and Governance
- Ensure adherence to company policies, financial controls, statutory requirements, and client-specific compliance obligations.
- Coordinate and support statutory, internal, and client audit exercises, ensuring timely provision of audit documentation and responses.
- Maintain proper documentation and audit trails for billing, revenue recognition, and vendor payment processes.
- Identify control gaps and recommend enhancements to strengthen financial governance.
Process Improvement and Projects
- Drive continuous improvement initiatives to streamline billing, reconciliation, reporting, and operational finance processes.
- Leverage system capabilities and automation opportunities to improve efficiency, accuracy, and scalability.
- Participate in finance transformation projects and implementation of new processes and controls.
Team Support
- Provide guidance and mentorship to Finance Executives and support knowledge sharing within the team.
- Assist Finance Manager in departmental projects and ad hoc assignments as required.
Requirements
- Possess minimum Diploma in Finance/Accountancy or equivalent
- Minimum 3 years of relevant finance experience, preferably in media, advertising, marketing communications, professional services, or project-based environments. Fresh graduates are encouraged to apply for the Finance executive role.
- Strong understanding of client billing, WIP management, revenue recognition, account reconciliations, and financial reporting.
- Experience supporting statutory, internal, and client audits, with a sound understanding of financial controls and compliance requirements.
- Proficient in Microsoft Excel and ERP/accounting systems.
- Strong analytical, problem-solving, and stakeholder management skills, with the ability to manage multiple priorities and meet deadlines.
