Job Description

Fundament Capital Investment Management (FCIM) is a Dubai-based investment management firm regulated by the UAE Capital Markets Authority. As our organization continues to grow, we are seeking a professional and highly organized Receptionist / Front Office Coordinator to serve as the first point of contact for visitors, clients, and partners.

Role Overview

The Receptionist will manage the front desk and ensure the smooth day-to-day operation of the office's reception and administrative functions. This role requires strong professionalism, discretion, and organizational skills, as the position interacts with senior executives, international partners, and internal teams.

Key Responsibilities

Front Office & Client Interaction

  • Serve as the first point of contact for visitors and guests entering the office.
  • Maintain a professional and welcoming front office environment.
  • Answer and route incoming calls through the company's main phone line.
  • Manage visitor access, coordinate meeting arrivals, and notify internal teams of guests.

Office Coordination

  • Schedule and manage meeting rooms when required.
  • Coordinate hospitality arrangements for meetings (refreshments, visitor arrangements, etc.).
  • Support the organization of internal meetings and office events.

Administrative Support

  • Assist with basic administrative tasks such as document handling, courier coordination, and office correspondence.
  • Coordinate incoming and outgoing mail, deliveries, and shipments.
  • Maintain office supplies and liaise with vendors when necessary.

Operational Support

  • Assist internal teams with logistical tasks when required.
  • Maintain organized records and ensure front office processes run efficiently.

Qualifications

  • Bachelor's degree preferred.
  • 13 years of experience in reception, front office, or administrative roles.
  • Experience in a corporate or professional services environment is a plus.
  • Excellent communication skills in English and Russian (additional languages are a plus).
  • Strong organizational and multitasking abilities.
  • Professional appearance and demeanor.
  • High level of discretion and confidentiality.
