About the Role
An exciting opportunity to be part of our facilities management business, managing a range of services for a new global client facility in Riyadh, built to high standards.
The Front of House is a customer-oriented role that requires a friendly, proactive, and can-do attitude, where the needs of the customer are treated as paramount.
You will be responsible for the end-to-end care of all staff and visitors on site. You will also be responsible and accountable for all activities within your remit and should highlight or escalate any concerns that may impact the client's reputation. You will be responsible for representing Macro, delivering first-class service to support a complex, multi-disciplined site and meet the requirements of the client.
Main Job Responsibilities
- Maintain the professional image and reputation of Macro and Client in all interactions with key stakeholders, including clients, suppliers, internal staff, and visitors.
- Exhibit a courteous and professional demeanour at all times, ensuring consistent representation of the company's values and high standards.
- Provide excellent service to clients and visitors, consistently aiming to exceed their expectations.
- Direct guests to the appropriate staff member or location within the premises.
- Answer incoming calls promptly and professionally, screen calls, take messages, and forward calls to the appropriate departments or individuals. Maintain an organised phone log for follow-ups and reference.
- Restock office supplies (brochures, pens, forms, etc.) as needed.
- Assist with general office administrative tasks, such as filing, photocopying, faxing, and data entry.
- Communicate with internal departments to ensure smooth operations (e.g., maintenance).
- Handle inquiries promptly, with empathy and attention to detail, ensuring satisfaction.
- Provide Front of House duty cover, including greeting guests and VIP visitors, ensuring they feel welcomed and informed.
- Organise meetings, including booking rooms, ensuring refreshments are available, and coordinating any special requirements for visitors.
- Assist the Client and Macro FM with regional administrative tasks, ensuring smooth operations.
- Assist the Client IT and Procurement teams with administrative tasks.
- Ensure that issues are closed out effectively and documented for future reference.
- Maintain a tidy office environment, ensuring the removal of empty cups and other items to keep the office looking pristine.
- Ensure compliance with internal policies, procedures, and regulations, especially the Clean Desk Policy, and ensure it is observed by everyone.
- Support corporate events by assisting with venue setup and providing assistance to meet event requirements.
- Ensure the appearance of the front office area and the entire office space is maintained to a high standard.
- Ensure timely and effective communication to meet stakeholder needs and expectations.
- Assist with client reports as required.

- Deliver superior customer service and develop key tenant stakeholder engagement by providing effective and timely communication to tenants, stakeholders, and the client.
- Carry out such other reasonable duties as may be required by the line manager.
- Support the client with arranging the issuance of access permits, access cards, ID badges, locker access, etc.
- Ensure that all inventory records are up to date and order new stock when required to maintain operational efficiency.
- Serve as the primary point of contact for office mail, shipping, and supplies, ensuring all outgoing and incoming correspondence is handled in a timely and organised manner.
- Release parcels for courier services, ensuring proper documentation and tracking for dispatch.
- Ensure that the front office area, as well as the entire office space, is maintained to a high standard of cleanliness and organisation.
- Regularly assess and improve the aesthetic appeal of the office to provide a professional and welcoming environment.
- Develop and maintain strong relationships with key stakeholders through effective and timely communication.
- Attend client meetings and provide necessary updates to the line manager, client, and local stakeholders.
- Perform other duties as assigned by the line manager, supporting the overall operations of the office and business needs.
About You
Your knowledge, experience and skills need to include:
- Experience in managing high end offices in the KSA Region, with office management, administrative or assistant experience.
- Good people management skills.
- Able to deliver and manage associates satisfaction and engagement.
- Excellent written and verbal communication skills.
- Capable of establishing good relationship with clients, customers, and service providers.
- Able to manage multiple vendors and specialists on site.
- Strong organisational and planning skills.
- Excellent time management skills, with the ability to multitask and prioritise work.
- Attention to detail and problem-solving skills.
- Ability to manage multiple projects and priorities simultaneously.
- Working knowledge of facilities management operations and systems, including CAFM/IWMS, helpdesk workflows, and asset management, with a understanding of how automation is adopted within an operational facilities management environment.
Desirable Skills & Experience
- Experience with Azure OpenAI, Azure Cognitive Services, or AI development frameworks.
- Knowledge of SQL, Python, R or similar analytical tools.
- Experience implementing enterprise AI solutions.
- Understanding of Robotic Process Automation (RPA) platforms.
- Knowledge of change management and technology adoption practices.
- Relevant certifications in Microsoft Power Platform, Azure AI, or Business Analysis.
