Job Description
The GC&E Sales Coordinator is responsible for providing efficient administrative and sales support to the Group, Conference & Events (GC&E) team. The role involves coordinating client requests, preparing proposals, quotations, offer letters, and contracts, maintaining accurate sales records, and ensuring smooth communication between clients and internal departments. The position also supports the sales team in maximizing business opportunities, maintaining strong client relationships, and delivering a high standard of service.
Responsibilities
- Provide administrative and operational support to the GC&E Sales team.
- Handle and respond to client inquiries, requests, and correspondence in a timely and professional manner.
- Prepare proposals, quotations, offer letters, contracts, and other sales-related documents.
- Coordinate group, conference, meeting, and event requirements with relevant hotel departments.
- Maintain accurate and up-to-date records of client information, leads, opportunities, and sales activities.
- Follow up on proposals and pending business opportunities to support conversion and revenue generation.
- Assist the sales team in identifying new business opportunities and maintaining existing client relationships.
- Support the preparation of sales presentations, reports, and other business development materials.
- Ensure all contracts and documentation are completed accurately and in accordance with company standards.
- Coordinate with Operations, Events, Finance, and other departments to ensure client requirements are communicated effectively.
- Assist with site inspections, client meetings, and event-related arrangements when required.
- Maintain a professional relationship with clients and contribute to enhancing the hotel's brand reputation.
- Ensure all client interactions and sales activities are properly documented and followed up.
- Support the team during high-demand periods and corporate/event seasons.
- Perform other duties and responsibilities assigned by the GC&E Sales Manager or Director of Sales.
Qualifications
- Language Proficiency: Professional fluency in both English and Arabic.
- Administrative Skills: Strong administrative capabilities, including proficiency in MS Office, effective email management, and experience preparing offer letters and contracts with high organizational standards.
- Client & Brand Management: Proven experience in managing client relationships and actively building brand reputation.
- Industry Background: While hotel industry experience is welcome, we are also very interested in candidates from events companies, particularly those with a proactive approach to business development.
