• Oversee all general services activities that are not department-specific across the bank.
• Act as primary coordination point between Administration and all departments for operational support requirements.
• Supervision of the daily activities provided by third party soft service providers for housekeeping, catering and pest control.
• Ensure consistent service delivery standards across branches and buildings through regular/sudden inspections and daily follow-up.
• Monitoring and controlling the supply of consumables pertaining to housekeeping and cafeteria services ensuring the demand is fulfilled with cost efficiency.
• Lead and supervise drivers and messengers serving all departments.
• Manage scheduling, leave planning, overtime control, and daily task distribution.
• Consolidate transportation requests across departments to optimize routing and reduce operational cost.
• Ensure service efficiency and continuity across all supported locations.
• Oversee maintenance, licensing, and operational readiness of bank-owned and leased vehicles.
• Optimize utilization of internal vehicles for IT asset transportation to minimize third-party transport expenses.
• Coordinate external transportation vendors for large-scale movements when required.
• Contract management of the leased cars.
• Payment of invoices
• Manage cleaning services, pest control operations, pantry, and cafeteria services across all locations.
• Ensure continuous availability of pantry supplies and quality service compliance.
• Conduct periodic branch visits to monitor service standards.
• Monitor cleaning contractor performance through monthly KPI reporting and circulate results to branch/building managers to ensure accountability and timely resolution of issues.
• Identify, evaluate, and recommend potential service providers in coordination with the Head of Department.
• Conduct due diligence and assessments prior to procurement engagement.
• Review contractual agreements (renewals, amendments, terminations) in alignment with CPD and internal governance policies.
• Coordinate with CPD to establish corporate agreements with hotels to secure preferential rates for executive and international visitors.
• Review and validate service invoices to ensure accuracy and alignment with delivered services before processing.
• Support operational readiness for new branch openings.
• Coordinate branch closures including asset segregation, transfer, write-off documentation, and auction preparation.
• Participate in write-off committees and support auction execution in line with internal approval matrix.
• Coordinate internal team relocations and workspace adjustments across departments.
• Act as central coordination point for asset monitoring across departments.
• Support departments in tracking, reallocating, transferring, and disposing assets in alignment with governance standards and SOP.
• Provide advisory support during major relocations and site closures.
• Manage and continuously update departmental cost allocation structures based on operational and location changes.
• Ensure accurate invoice distribution in line with approved allocation methodology.
• Lead coordination for executive visits and external senior management delegations.
• Arrange meeting venues, catering, hotel bookings, and logistics while maintaining professional standards and cost efficiency.
• Manage meeting room bookings across locations, ensuring optimal space utilization and conflict resolution between departments.
• Serve as official backup for MGN Senior Administration Officer.
• Act as operational lead for Administration and MGN Administration functions during staffing gaps to ensure uninterrupted service delivery and business continuity.
