Job Description

SECTION I: JOB PURPOSE

The purpose of this role is to provide comprehensive support to the Global Partnerships and Mobility Center (GPMC) within the Office of Internationalization. The GPMC Coordinator will act as the main support point for International Officers, facilitating student and faculty exchange programs, fostering international partnerships including joint and dual degrees, and ensuring the smooth execution of global mobility initiatives. This role involves managing applications, developing and reviewing Memorandums of Understanding (MOUs), submitting MOUs for ES Approval and legal review, arranging international visits, and contacting prospective partner universities to collaborate and develop MOUs. The GPMC Coordinator will ensure that all activities align with the university's goals for global engagement and academic excellence.

Key Responsibilities:

Exchange Program Support:

  • Support International Officers in managing the full lifecycle of incoming and outgoing exchange students and faculty, including:
  • Assisting with the processing of applications, verifying eligibility, and preparing acceptance packages.
  • Providing guidance on visa requirements, travel arrangements, housing options, insurance, and cultural differences.
  • Organizing and conducting orientation sessions for incoming and outgoing participants.
  • Supporting returning participants with academic recognition and reflection activities.
  • Maintain accurate and up-to-date records of all exchange program activities, participants, and outcomes, including student files, program statistics, and partner university information.
  • Assist in the development and implementation of new exchange programs and initiatives, including virtual exchange opportunities and innovative program models.

Partnership Support:

  • Assist in building and maintaining strong partnerships with leading global universities, particularly those ranked within the top 200 globally.
  • Drive the strategic expansion of ADU's academic portfolio by identifying global partners and initiating dual and joint degree agreements that align with institutional priorities.
  • Manage the end-to-end coordination of collaborative programs, facilitating curriculum mapping between faculties and ensuring seamless regulatory compliance for successful implementation.
  • Support the development of MOUs and collaborative agreements with partner universities, including negotiating terms, coordinating approvals, and ensuring proper execution of agreements.
  • Manage all aspects of exchange program agreements, Memorandums of Understanding (MOUs), and related documentation with partner universities, ensuring compliance with agreements.
  • Submit MOUs and agreements for ES Approval, ensuring all documentation complies with university policies and procedures.
  • Liaise regularly with partner universities regarding exchange program details, logistics, and requirements, including program calendars, course offerings, student nominations, and housing arrangements.

International Visits and Collaboration:

  • Arrange and coordinate international visits for university representatives to partner institutions, including logistics, itineraries, and meeting schedules.
  • Contact prospective partner universities to explore collaboration opportunities and develop new MOUs.
  • Foster and maintain strong relationships with existing and potential partner universities, ensuring effective communication and collaboration.
  • Support International Study Abroad Program (ISAP) by coordinating the planning and execution of specialized academic workshops on leadership and sustainability, alongside organizing high-impact industry visits to leading UAE organizations.
  • Also facilitate the on-ground logistics for immersive cultural excursions across the UAE, ensuring a seamless blend of academic enrichment and cultural exploration for international students.

Stakeholder Liaison:

  • Act as a key liaison between the GPMC, academic departments, administrative offices (e.g., Registrar, Student Services, Finance), partner universities, and other stakeholders to ensure effective communication and collaboration.
  • Communicate effectively with internal and external parties, promoting exchange opportunities through various channels, responding to inquiries in a timely manner, and providing accurate information about exchange programs.

Administrative Support:

  • Provide comprehensive administrative support to the Project Officer of the Office of Internationalization, including managing complex calendars, scheduling meetings, preparing agendas, taking minutes, and managing travel arrangements.
  • Organize and coordinate exchange-related events, workshops, seminars, conferences, and guest lectures, including venue booking, catering, participant registration, and logistical arrangements.
  • Manage office supplies inventory, maintain organized filing systems (both physical and electronic), and ensure efficient office operations, including processing mail, handling phone calls, and managing correspondence.
  • Assist with budget management, financial transactions, and expense tracking related to exchange programs, including processing invoices, tracking expenses, and preparing budget reports.

Data Management and Reporting:

  • Maintain and update databases related to exchange programs, participants, partner institutions, and international contacts, ensuring data accuracy and confidentiality.
  • Collect and analyze data on exchange program activities and outcomes, including student demographics, destinations, program evaluations, and academic results.
  • Prepare detailed reports and presentations on exchange program statistics and achievements, including KPIs such as exchange participation rates, partnerships established, participant satisfaction levels, and research collaborations.

Promotion and Communication:

  • Promote exchange opportunities internally and externally through various marketing and communication strategies, including managing website content, creating promotional materials, and utilizing social media.
  • Organize information sessions and workshops to raise awareness of exchange programs and opportunities.

Other Duties:

  • Support the Office of Internationalization and the GPMC in other related tasks and projects as needed, demonstrating flexibility and a willingness to contribute to the overall success of the GPMC.

Minimum Educational Qualifications Required for the Role:

  • Bachelor's Degree in a relevant field such as international relations, business administration, or a related field is preferred.

Minimum Years of Experience Required

  • 2-4 years experience in a coordinator role, preferably in an international or academic setting.

Nature of Relevant Experience Required

  • Experience in student services, international education, or program coordination is highly desirable.

Language - Skills:

  • English is required
  • Arabic is preferred

  • Advanced knowledge of Microsoft Office, Zoom, Skype, Teams, and exceptional PowerPoint skills.
  • Excellent IT skills, especially data visualization techniques using tools such as Power BI.
  • Understanding of, sensitivity to, and respect for the diverse academic, socioeconomic, cultural, and ethnic backgrounds of ADU's students, faculty, employees, and community.
