Job Summary
- Research and lead travel arrangements to ensure compliance with local and international visa and travel regulations, including accommodation, to promote incident-free travel for company staff and guests.
- Lead negotiations with outsourcing companies to secure best services at lowest cost.
- Assist in implementing travel policies for cost efficiency without compromising service quality.
Roles & Responsibilities
Travel Request Processing
- Arrange flight, hotel, and transportation bookings for business trips & trainings inside and outside Qatar.
- Amend employee travel requests on short notice, including beyond working hours.
- Provide on-call services beyond business hours for employees or clients in transit or difficulty.
- Coordinate with travel agents and airlines for bookings.
- Develop and distribute itineraries for large groups.
- Maintain relevant files and distribute travel directions.
Business Travel Financials
- Ensure travel arrangements meet high quality standards at lowest cost.
- Negotiate corporate discounts with hotels and travel agents.
- Review invoices, process payments, reconcile expenses.
- Process employee travel expenses and determine eligibility for refunds.
- Prepare monthly, quarterly, and yearly reports on travel trends.
- Assist in preparing travel section budget and monitor financial performance vs. budget.
Other Duties
- Provide staff with destination and travel information.
- Stay updated on latest travel procedures, regulations, and cultural differences.
- Update Director, Administration Services on serious or complex travel issues.
- Review and propose amendments to internal travel policy.
- Perform other duties and manage priorities with minimal guidance.
Ideal Capabilities / Skills
Business Capabilities
- 8+ years in Business Travel Management.
- Strong experience in travel budgeting and procedures.
- Good organizational and business process knowledge.
- Proficient in MS Office and strong computer skills.
Education
- Bachelor's degree in Tourism, Hospitality Management, or related field.
Interpersonal Skills
- Excellent time management and organizational skills.
- Strong negotiation skills, tact, and integrity.
- Strong oral and written communication in Arabic and English.
- Ability to work under pressure while maintaining accuracy.
