About Your Team

As a Hire Desk Assistant, you will support and collaborate with the hire desk and sales teams to coordinate equipment hire enquiries, quotations, agreements, and customer accounts. You will work closely with customers, sales, operations, and other internal departments to ensure timely responses, accurate documentation, and efficient service delivery. Your role will contribute to a seamless hire process, improved quotation conversion, and a positive customer experience.

Your Role

As a Hire Desk Assistant, you will:

• Prepare and issue accurate quotations & agreements based on customer requirements and hire desk/sales team instructions.
• Follow up on outstanding quotations with customers and the sales team to maximize conversion rates.
• Open and maintain new customer accounts, ensuring all required documentation is completed and approved.
• Maintain accurate records of quotations, customer accounts, and sales activities.
• Prepare and distribute weekly and monthly sales analysis reports covering quotation volumes, win/loss results, conversion rates, individual salesperson performance, and customer activity trends.
• Monitor quotation turnaround times and ensure timely responses to customer enquiries.
• Support the sales & hire desk teams by providing administrative assistance and sales-related information as required.
• Ensure all documentation is accurate, complete, and filed in accordance with company procedures.

What We're Looking For

Qualifications & Experience:

• Bachelor's degree in business administration, Sales, Marketing, or a related field.
• Minimum 2 years+ experience in a sales coordination or administration or hire desk role.

Knowledge & Skills:

• Proficiency in MS Office Suite (Word, Excel, PowerPoint).
• Excellent written and verbal communication skills.
• Strong Attention to Detail and Excellent Organizational Skills.
• Familiarity with ERP systems and accounting software is an advantage.
• Strong leadership, communication and problem-solving skills; resilient under pressure.
• Good analytical skills with the ability to prepare and interpret sales reports.
• Ability to work independently, manage priorities, and meet deadlines.
