Role Description

We are seeking a highly organized and people-focused HR & Admin to join our team full-time on-site in Dubai. This hybrid role blends strategic HR support with essential administrative responsibilities, ensuring smooth daily operations and a strong internal culture as the studio continues to grow.

The HR & Admin Advisor will support the full employee lifecycle from recruitment and onboarding to performance support and compliance while also managing daily administrative operations such as email and calendar support, documentation, contract management, PRO coordination, and office administration.

This role is ideal for someone who thrives in a fast-paced creative environment, enjoys supporting people and processes, and can balance operational efficiency with a human-centered approach.

Key Responsibilities

Human Resource Advisory

  • Support the development, implementation, and updating of HR policies, procedures, and company handbooks.
  • Manage employee relations concerns with professionalism, discretion, and adherence to best-practice guidelines.
  • Oversee employee benefits administration and maintain accurate personnel records.
  • Provide day-to-day HR advisory to employees and leadership, ensuring policies are followed consistently.
  • Manage recruitment activities, including job postings, CV screening, interview coordination, assessments, reference checks, and onboarding workflows.
  • Support performance management processes, probation reviews, and documentation.
  • Promote positive employee engagement through culture-building initiatives and communication.
  • Ensure HR practices comply with UAE labor regulations and reflect the company's values and strategic goals.

Administrative & Operational Support

  • Manage and organize company inboxes, correspondence, and general communications.
  • Coordinate calendars, meeting schedules, staff reminders, and internal appointments.
  • Support contract administration: drafting, formatting, preparing, filing, and tracking renewal dates.
  • Maintain filing systems for HR documents, contracts, and administrative records.
  • Assist with the preparation of internal documents, reports, presentations, and templates.
  • Provide administrative support to leadership and internal teams as needed.
  • Coordinate office supplies, deliveries, vendor communication, and general office needs.

PRO & Government Services Coordination

  • Liaise with the PRO for visa applications, renewals, cancellations, labor contracts, Emirates IDs, and other government services.
  • Prepare and verify all documents required for employee-related government processes.
  • Maintain an organized and up-to-date tracker for visa statuses and renewal timelines.
  • Ensure compliance with UAE legal requirements and internal standards.

Ad Hoc & Cross-Functional Support

  • Support operations, finance, and production teams during peak project periods.
  • Assist leadership with research, documentation, and special projects.
  • Step in for administrative or HR-related tasks that arise as the business grows.
  • Provide flexible support across teams to ensure smooth daily operations and a positive workplace experience.

Qualifications

  • Strong expertise in Human Resources (HR) and HR administration, with a solid understanding of HR best practices.
  • Experience handling end-to-end recruitment workflows (posting, screening, interviews, onboarding)
  • Experience developing or implementing HR policies, employee benefits, and personnel procedures.
  • Proficiency in employee relations, recruitment coordination, and performance management support.
  • Hands-on experience in administrative support, including email and calendar management, contract handling, and documentation.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Ability to multitask, stay organized, and work efficiently in a dynamic, creative environment.
  • Bachelor's degree in Human Resources, Business Administration, or a related field; HR certifications are an advantage.
  • Familiarity with UAE labor laws, visa processes, and HR compliance protocols is highly beneficial.
