Job Description
We are seeking an HR & Administration Officer / Executive Assistant to support the day-to-day HR, administrative, government relations, and executive support functions of the company. The role will be responsible for maintaining employee records, coordinating HR processes, supporting recruitment and employee relations, managing government platforms, and providing confidential administrative support to senior management.
Key Responsibilities
• Manage day-to-day HR administration, employee records, contracts, personnel files, and HR documentation.
• Support recruitment, onboarding, employee transfers, leave, attendance, payroll coordination, and employee offboarding.
• Handle employee-related transactions through Saudi government platforms, including Qiwa, Mudad, Muqeem, GOSI, HRSD, Ajeer, MOFA, Saudi Council of Engineers, and Chamber of Commerce, as applicable.
• Monitor employee documentation, including Iqama, work permits, passports, contracts, insurance, and other relevant expiries.
• Support Saudization/Nitaqat, WPS, GOSI, medical insurance, and Saudi Labour Law compliance.
• Assist with employee relations, HR correspondence, disciplinary documentation, HR reports, and
implementation of company policies and procedures.
• Coordinate with government authorities, banks, insurance providers, recruitment agencies, suppliers, and other external stakeholders as required.
• Provide confidential executive and personal assistance to Executive Management, including calendar and
meeting coordination, travel arrangements, flight and hotel bookings, itineraries, correspondence, and followup of assigned matters.
• Prepare reports, letters, presentations, meeting minutes, and other documents as required by management.
• Maintain confidentiality of employee, management, and company information.
• Perform other HR, administrative, and executive support duties assigned by management.
• Support the development, implementation, monitoring, and continuous improvement of internal HR
policies, procedures, and standard operating procedures.
• Promote a positive workplace culture through clear employee communication, employee engagement
initiatives, and support for employee well-being.
• Support performance-management activities, including coordination of performance reviews, follow-up on agreed actions, and related documentation.
• Monitor and support improvement in HR service quality, response times, communication effectiveness, and employee experience across the organization.
• Assist in developing and implementing employee engagement, recognition, loyalty, and retention programs tailored to company needs.
• Monitor employee retention and attrition trends and prepare relevant reports and recommendations for
management.
• Coordinate and support the company's Great Place to Work program and related employee-experience
initiatives.
• Work closely with management to identify opportunities to improve cross-functional collaboration,
productivity, and employee satisfaction.
Qualifications & Skills
• Bachelor's degree or diploma in Human Resources, Business Administration, or a related field.
• 2–4 years of relevant experience, preferably in Saudi Arabia.
• Good knowledge of Saudi HR and labour-related government platforms and processes.
• Practical experience with Qiwa, Mudad, Muqeem, GOSI, HRSD, and related government systems.
• Proficiency in Microsoft Office, particularly Word and Excel.
• Strong organizational, communication, coordination, and time-management skills.
• Ability to handle confidential information professionally and discreetly.
• Good written and verbal communication skills in Arabic & English.
• Ability to manage multiple priorities and work effectively with employees, management, and external
stakeholders.
